Job Title: Front Desk

Full time – Hourly
NOTE: This job description is not intended to be all-inclusive. Employees may need to perform other related duties assigned by Dr. Bellavia to meet the ongoing needs of the organization.

Position Overview

The Front Desk provides administrative, customer services, clinic coordination and day-to-day efficient scheduling for treatments to clients of Bella Via Aesthetics. This team member is part of a team to grow the aesthetic business through education, cross selling and professionalism. The Front Desk is responsible for the daily financial targets to be achieved through proper scheduling, sales, cross selling and managing flow of the patient.

Specific Job Functions

  • Intake of Patient for Medical Spa
  • Chart Creation and Maintenance
  • Get charts ready for the next day making sure consent forms are ready and everything is up to date
  • Billing of services
  • Scheduling of all services for client
  • Schedule planning and projection one month out
  • Responsibility for booking goals each day and booking to capacity
  • Front office organization, neatness and maintenance of office and waiting room equipment
  • Maintains inventories of office supplies & submits weekly (or bi-weekly) list of orders to be placed
  • Answering of telephones in a 5-Star Manner
  • Basic knowledge & understanding of all services offered
  • Selling the Consult on the phone
  • Sales and education on skin care products (if applicable)
  • Confirming appointments the day before
  • Room management and cleaning
  • Having schedules ready for providers in the morning
  • Maintain marketing tools in facility and out: brochures, collateral materials, signs, gift certificates
  • Reporting of any client complications to manager
  • Commitment to ongoing staff training
  • Participation in all marketing events to promote the growth of the clinic
  • Managing rep visits

  • Always remaining professional and giving the best service to our providers

Requirements

  • Keep training current by attending courses related to medical spa industry

Other Skills/Abilities

  • Sales, Clerical, Typing, Computer software lead person
  • Ability to work as a team member in a rapidly growing business

Compensation

$15.00 an hour plus commission

40 hours per week (FULL-TIME STATUS)

Job Type: Full-time

Pay: $15.00 per hour
