Job description

Duties & Responsibilities:

  • Maintains sufficient supply of all front desk materials and supplies. Orders all needed materials in a timely manner.
  • Maintains and updates property management software to ensure accurate reporting and tracking.
  • Maintains calendar for temporary housing and communicates availability to Human Resources
  • Sends notices for lease violations, filing of complaints and preparation of landlord/tenant actions. Maintains a list of terminated tenants and forwarding addresses if available.
  • Interacts with guests effectively answering questions, solving problems, and handling complaints.
  • Has a close working relationship with all other property functions.
  • Conducts intake on rental housing applications, pre-screens and insures that all necessary paperwork regarding the application process is submitted and verified.
  • Maintains up-to-date waiting list for rental housing program applicants. Contacts applicants annually to update or remove from waiting list. Maintains and updates family composition and tenant list on an ongoing basis.
  • Reviews all housing related forms periodically to ensure accuracy and completeness and recommends changes as necessary.
  • Enters relevant data to tenant files. Schedules and conducts interim and annual tenant recertification. Maintains hard copy tenant files and ensures all verification forms and required signatures are properly submitted.
  • Notifies selected tenants of applicable charges, deposits and utility verification forms and provides them with a brief explanation of what is required prior to move-in.
  • Submits monthly reports regarding occupancy to the Property Manager as applicable.
  • Sets up move-in, transfers and move-out files.
  • Maintains all required records as well as all official documents and agreements pertaining to property occupancy and residency (Security Deposit, Pet Agreements, Check In/Check Out Inventory, etc.); works with Legal Department to manage lease agreements as applicable.
  • Distributes packages and parcels to tenants
  • Maintains the office and lobby area
  • Other duties as assigned

Minimum Qualifications:

  • Must have a High School Diploma or Equivalency.
  • Must have experience in a guest contact position.
  • Office / Administrative experience preferred.
  • Excellent communication and computer skills required.
  • Excellent organizational skills.
