Front Office Assistant II
Reports to
Director of Operations

Job purpose

Beatrice Mayes Institute is seeking a personable, detail oriented and organized Front Desk Clerk to perform a variety of administrative and clerical tasks.

Duties and responsibilities

  • Generate written communication that will go out to parents, faculty and staff
  • Greet and assist all visitors in an inviting and positive manner
  • Check in all visitors using the verification process and Raptorware application; ensure all guest have a visitor’s badge and are directed to their destination
  • Sign students in and out, keeping a detailed log daily using PikmyKid application
  • Answer phone calls, check voicemail, take messages, emailing or forwarding to the appropriate faculty/staff member
  • Manage the parcel and mail pick up and delivery system by sorting mail and packages; notifying the appropriate faculty/ staff member
  • Maintain the general office filing system
  • Maintain a neat and organized reception are neat
  • Responsible for creating and executing Purchase Orders
  • Other duties as assigned

Qualifications

  • Associate degree in Business preferred. High School diploma or equivalent required.
  • Minimum of 1 year of experience in an administrative assistant and customer service related role required; preferably in a school environment.
  • Bilingual preferred
  • Excellent customer service skills. Ability to be calm under pressure, especially in difficult conversations with parents and staff.
  • Strong communication and time management skills; ability to effectively backwards plan, juggle multiple priorities with great attention to detail, and deliver consistent and timely results.
  • Sense of humility, customer service mindset, and shows urgency and the ability to proactively solve problems and make decisions quickly
  • Team player mentality
  • Excellent organizational, verbal, and written communication skills
  • Excellent computer skills, including but not limited to intermediate level knowledge of Microsoft Word, Microsoft PowerPoint, Microsoft Excel; Google Drive, Google Docs, and Google Sheets
  • Desire to continuously learn and increase effectiveness as a professional

Job Type: Full-time

Pay: $26,000.00 - $35,000.00 per year
