Position Summary

The General Clerk III-Order Clerk position is primarily responsible for the smooth and efficient ordering of parts, materials, and supplies. Orders are placed through a variety of methods to include; in person, telephone, email, fax, and inventory replenishment such as bin stock materials. Work is performed under general supervision according to established guidelines and procedures.

Duties and Responsibilities

  • Receive and promptly process signed purchase requests from mechanics and supervisors.
  • Verifies purchase requests for completeness and accuracy.
  • Regularly contact vendors for pricing quotes of materials or parts.
  • Place order through multiple vendors for materials or parts.
  • Input data into computerized databases such as Maximo & Deltek.
  • Update orders regularly in computerized databases.
  • Build purchase orders within Deltek and issue purchase orders to vendors for requested materials and parts.
  • Keep mechanics and supervisors updated on estimated delivery dates and status of orders.
  • Follow up on orders.
  • Help resolve issues when received materials do not match what was ordered.
  • Support supply and accounting departments as necessary to ensure efficiency of work.
  • Set up and maintain paper and electronic filing systems for records, correspondence, and other material to ensure accurate maintenance of files and ease of retrieval.
  • Greet vendors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work.

Requirements

  • Effective oral and written communication skills.
  • Effective technical, interpersonal, organizational and telephone etiquette skills.
  • Considerable knowledge of office practices, procedures, equipment, and standard clerical techniques.
  • Some knowledge of ordering methods, techniques, and practices.
  • Some knowledge of building maintenance needs and service requirements.
  • Some knowledge of the practices, methods, materials, and equipment of the building trades.
  • Present professional appearance and demeanor.
  • Type; operate a personal computer, with emphasis on accuracy, mental alertness, and neatness.
  • Maintain confidentiality of information related to EMI Services, our customers, vendors and employees.
  • Be adaptable and flexible in work situations. Establish priorities to ensure completion of tasks in a timely manner.
  • Understand and adhere to policies and procedures as set by EMI Services.
  • Promote and maintain a positive image of EMI Services to our customers, vendors, employees, and the community.
  • Polite, professional, and courteous to others. Demonstrate a cooperative and positive attitude.
  • Inform the Operations Manager of all pertinent problems, irregularities, and other important information within area of responsibility.
  • Adhere to safety policies and procedures to include proper use of personal protective equipment.

Education and/or Experience

EDUCATION: High School Diploma, GED or equivalent. Each complete year of accredited college education in a related field may be substituted for the equivalent number of years of required experience.

EXPERIENCE: Must have 2-3 years as an Order Clerk or General Clerk III or related position such as formal vocational/technical training in office work.

Certificates, Licenses, Registrations

Valid driver’s license is required.
