Overview of Role

The Gift Processing and Development Coordinator supports the Development Department of the Walters Art Museum by overseeing and coordinating gift/grant processing. Reporting to the Manager of Individual Giving, this position will oversee the collection, processing, and acknowledgement of all gifts to the museum, in support of the strategic initiatives of the department.


PRIMARY RESPONSIBILITIES

Provide oversight and coordination of gift processing, and ensure accuracy of donor data.

  • Process unrestricted and restricted contributions from individuals, grants, foundations, corporations, bequests, and others.

  • Process contributions through stock and ACH donations in conjunction with the Finance Department.

  • Manage credit card gift processing and handle onsite check deposits.

  • Monitor database for incomplete transactions.

  • Develop, run, and review timely audits to ensure accurate gift entry and acknowledgement.

  • Manage and update standard operating procedures related to gift processing.

  • Coordinate with members of the Development team to ensure proper recognition of gifts and pledges are generated.

  • Manage the collection of museum contribution box donations with the Finance Department.

  • All other duties as assigned.


Work with Finance to reconcile gift information.

  • Review and complete all gift adjustments in conjunction with the Finance Department.

  • Provide detailed information about gift designations, as needed.

  • Provide check deposit reports.

  • All other duties as assigned.


Coordinate with members of the Development team to ensure the proper credit of gifts and pledges are received. Support ongoing donor stewardship.

  • Oversee gift acknowledgements and processes.

  • Manage process for generating membership cards.

  • Respond to donor questions received through the giving inbox and hotline.

  • Ensure donor biographical and contact information is updated in a timely and accurate manner.

  • Prepare renewal/solicitation mailings.

  • Maintain inventory of supplies needed for donor solicitations and stewardship.

  • Provide general support for the department as needed.

Required Skills and Experience

  • Minimum of two years fundraising database experience; Raiser's Edge / Altru experience strongly preferred.

  • Demonstrated commitment to confidentiality regarding Walters’ processes and donor information.

  • Proficiency in Microsoft Office Suite, particularly Microsoft Excel, and a demonstrated ability to perform mail merge functions.

  • Demonstrated organizational skills and ability to handle multiple tasks and priorities simultaneously without compromising productivity or attention to detail.

  • Ability to work independently and as part of a team with demonstrated interpersonal skills.

  • Demonstrated written and verbal communications skills.


Schedule:
Regular work week is Monday to Friday, 9a.m. to 5p.m. Able to work evenings and weekends as needed.

Starting Hourly Rate: $22.25-24.25/hour
