This is an administrative support position responsible for facilitating the graduation audit application process from the point of initial contact with the student during the application process through the posting of degrees and closing of the graduation class. Works under general supervision, with limited latitude for the use of initiative and independent judgment. Reports to the Assistant Registrar.
Essential Job Functions
  • Assists students via phone, email, chat and in person with applying for the graduation audit, graduation application status and commencement participation.
  • Processes late graduation applications, major and catalog changes.
  • Assists in final graduation audit processes including but not limited to the completion of audits, review of final audits for changes and clearing of deficiencies.
  • Provides graduation area training to campus.
  • Analyzes customer interaction, office procedures and software to request necessary improvements or changes to student information system, student portal and graduation web pages.
  • Assists in updating graduate data in student information system and external graduation ceremony data collection site.
  • Corresponds with graduates regarding tuition rebate eligibility.
  • Prepares diplomas for mailing.
  • Provides excellent customer support.
  • Makes recommendations to improve the efficiency of graduation processes.

Required Knowledge, Skills, and Abilities
The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.
  • Knowledge of, or ability to learn, university policies and procedures.
  • Knowledge of records administration and maintenance techniques and procedures.
  • Skill in using computer applications including spreadsheet, database and word processing software.
  • Ability to learn office- and university-specific software.
  • Ability to accurately prepare and maintain records, files and reports.
  • Ability to communicate effectively in both oral and written form.
  • Ability to set priorities and complete assignments on time.
  • Ability to work successfully as a member of a team and independently with general supervision.
  • Ability to handle sensitive and confidential information responsibly.
  • Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
  • Ability to work effectively and patiently with students.
Physical Demands Required Education
High school diploma or equivalent is required.
Required Experience and Training
One year of related experience is required. Experience dealing with confidential records, computer software and general office procedures is required.
Preferred Qualifications
Some college coursework is preferred. Experience dealing with educational records is strongly preferred.
Special Conditions for Eligibility
This is a security-sensitive position subject to criminal record check.

Min Pay Rate Mid Pay Rate Salary Information Hiring Salary - $23,500 - $28,000, Salary Grade - 19 Specific Job Requirements/Duties for this Posting Is Background Check Required? Yes Benefit and Retirement Eligibility
This position is eligible for participation in the Teacher Retirement System of Texas (TRS) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
