The role
Project Management Organization (PMO) is a critical component to the success of the agency. The PMO not only drives projects but moves business forward.
The Group Project Manager (GPM) is a strategic thinker, skilled at resolving challenges, exploring business opportunities, and leading multiple teams. The GPM sets an example of a positive work ethic and team collaboration. The GPM takes an active role in developing best practices for the department and the agency and provides departmental leadership. The GPM reports to the Director of Project Management (DPM) and supervises 3-4 direct reports at various levels within the PMO.

What we expect from you
Agency Operations
  • Champions the project management methodology to promote a disciplined and flexible workflow
  • Champion of the agency’s best practices and procedures
  • Aligns with DPM on departmental and agency wide initiatives and translates executive direction into tactical plans
  • Trains, directs, and collaborates with Project Managers (PMs) on the implementation of and ongoing compliance with all systems and tools
  • Plays an active role in conflict resolution. Identifies, manages, and resolves problems before they escalate. Partners with department leads and senior team staff in resolving team conflicts
  • Continually improves performance and proactively identifies areas needing improvement and recommends enhancements
  • Works across multiples brandings, proactively recommending and developing strategic solutions that complement brand strategies
  • Builds and maintains positive relationships with own clients, and the clients of their staff
  • Maintains understanding of client needs and effectively communicates that to staff, creative, and other appropriate departments
  • Establishes strong relationships with client technical team
  • Identifies potential project risks, implements appropriate course of action to address project slippage, and develops strategies to mitigate future risk
  • Confers with team to overcome challenges and facilitate a timely resolution
  • Participates in agency and client orientations
  • Works with DPM on staffing plan development
  • Builds PMO structure for each brand by aligning brands with complementary PM skill sets
Financial
  • Partners with the Account team on SOW development; reviews SOW pricing, prepares estimates, discusses requirements, and makes pricing recommendations in support of the sale
  • Partners with Account team to enable revenue and drive profitability. Manages brand-specific output forecasts to enable revenue. Reviews financial performance to drive profit
  • Ensures financial success by managing an effective estimating methodology and practice. Trains the PMs in estimating techniques. Reviews and approves direct report PMs’ estimates. Prepares accurate and timely estimates for complex projects
  • Trains direct report PM team to clearly define project assumptions and scope parameters (when applicable). Develops requirements for complex assignments
  • Provides direction to direct report PM team on managing project scope and discusses change orders when applicable
  • Negotiates vendor costs and timing when developing and finalizing brand-specific client estimates
  • Maintains in-depth knowledge on costs and manpower needed to take a project from initiation through completion
  • Consult with teams when financial issues arise to help them determine how to address changes in scope
  • Coordinates with Finance department to ensure all new clients, brands, rates, and financial templates are developed properly
Leadership/Management
  • Reviews workload to identify potential staffing constraints. Works with team leads and DPM to align resources and ensure appropriate staff utilization
  • Develops new approaches and implement new idea
  • Supervises the work of the direct report PMs. This includes training, evaluating their work, and monitoring efficiency and quality control to ensure that work is executed accurately and meets the highest possible standards
  • Ensures that both long-term planning and day-to-day activities of project management is aligned with agency goals and objectives
  • Manages and resolves staff issues related to employee performance and interactions. Provides staff with constructive, ongoing feedback and generates annual performance reviews
  • Celebrates/acknowledges achievements of staff with agency
  • Fosters “customer-centric” attitude within the department and promotes positive agency and team atmosphere through all interactions (internal and external)
  • Establishes, maintains, and continually refines standards of excellence
  • Nurtures individual talent, yet fosters team building
Background/experience and skills
  • Minimum 1 year of agency management experience
  • Minimum 5 years of experience in project management, both digital and offline
  • 4-year undergraduate degree or equivalent professional experience
  • Experience in client-focused team leadership and needs assessment
  • Excellent verbal/written communication skills
  • Experience in process development, client relationship management, project management
  • Experience in digital, print, and audio/video production is desirable
  • Knowledge of pharmaceutical promotion guidelines is highly desired
  • Proficiency with MS Office applications, including Word, Excel, and Project, is required
  • Proficiency with project management software is desired
  • Proficiency with Lotus Notes and PowerPoint is desired
