We are looking for a Group Reservations Coordinator :to ensure the effective coordination and administration of all group bedroom bookings, as per the group reservations procedure.

REPORTS TO: :Revenue Manager
PAY RATE: $27.00 per hour
JOB SUMMARY: :This position will be responsible for taking reservations and accurately inputting the information into the hotel’s reservations system. It requires coordinating all group reservation requests with the sales and catering office and group meeting planners. This position will accurately monitor the Lodge’s room inventory in reference to group blocks. The position will answer inquiries regarding room rates, special packages, promotions and amenities. This position must consistently maintain knowledge of the hotel facilities and general travel information to assist guests with questions. This position will handle all guest requests in a professional manner.
ESSENTIAL JOB FUNCTIONS:
- To be proficient with all features of the Lodge’s property management system as this position requires a thorough understanding of both the reservations features and accounting billing features.
- Daily email and phone communication with sales managers and meeting planners to update group blocks and reservations, including VIP information, billing to the master account instructions, special room request blocking, etc.
- Monitor timeliness of rooming lists and cut off dates based on contracts.
- Communicate with other reservation staff regarding updated information on group reservations to keep everyone in the office informed on groups’ special needs.
- Handle incoming reservations calls for all individual travelers’ requests and complete the daily checklists tasks.
- Provides weekly reporting regarding group pick up and cut offs etc.
- Provide helpful and cooperative communication between sales, catering, front office and accounting on a regular basis and all departments as needed.
- Assist Revenue manager with special projects as assigned.
ESSENTIAL WORK SKILLS:
- Strong computer skills with hotel property management systems and revenue management software.
- Organizational skills to work with volumes of data and coding to ensure accuracy of information.
- Strong Accounting Skills
- Good verbal communication skills and customer services skills
- Must be able to multi-task and have excellent communication skills both oral and written.
- Attention to detail and high level of accuracy is a must for this group coordinator role.
MINIMUM EDUCATION AND WORK EXPERIENCE:
- Must have a High School diploma.
- Minimum 1 year experience in reservations in the Hospitality field preferred.
