Job Summary: Supervises clerical staff in day-to-day duties that support accurate and complete medical records. Functions include discharge analysis, incomplete records, release of information, transcription management and scanning. Assists Director with quality and productivity assessments.


Job Description:

Essential Responsibilities:
  • Schedules and monitors staffing to ensure efficient record flow and scanning timeliness.
  • Completes medical record merge requests. Processes daily merge request lists received from BIDMC.
  • Acquires and maintains a working knowledge of all clerical functions. Supports clerical functions during vacation/absences of staff.
  • Processes transcription edit reports. Assists Physicians, Clinicians with dictation issues, questions.
  • Processes Medical Staff incomplete record notifications.
  • Performs quality checks on discharge analysis and incomplete record data, reviews for accuracy.
  • Communicates with the Medical Staff and hospital Administration concerning the completion of delinquent records. Assist Physicians/ Clinicians with questions surrounding the completion of incomplete record documentation.
  • Collect and analyze data from our electronic health record. Create reporting to support ongoing documentation and incomplete record management.
  • Coordinates the scheduling of internal and external chart audits.
  • Assists the Director in the development/ update of Department policies and procedures.
  • Has the authority to direct and support employees daily work activities. Has authority to undertake or recommend the following employment actions: hiring, termination, corrective action and performance reviews. Direct Reports: 4-6 Indirect Reports: 1-5

  • Assists in planning, monitoring and/or managing budget in functional area of department.

Required Qualifications:
  • High School diploma or GED required. Associate's degree preferred.
  • Registration Registered Health Info Tech preferred.
  • 1-3 years related work experience required in Knowledge of medical terminology with one year's supervisory experience in a medical setting and 1-3 years supervisory/management experience required
  • Ability to multitask with excellent communication and customer service skills
  • Experience with computer systems required, including web based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access.
Preferred Qualifications:
  • Meditech experience and strong computer knowledge.

  • Oral Communications: Ability to comprehend and communicate complex verbal information in English to medical center staff, patients, families and external customers.
  • Knowledge: Ability to demonstrate in-depth knowledge of concepts, practices and policies with the ability to use them in complex varied situations.
  • Team Work: Ability to act as a team leader for small projects or work groups, creating a collaborative and respectful team environment and improving workflows. Results may impact the operations of one or more departments.
  • Customer Service: Ability to provide a high level of customer service and staff training to meet customer service standards and expectations for the assigned unit(s). Resolves service issues in the assigned unit(s) in a timely and respectful manner.
