Who are We Recruiting?
In addition to duties outlined below , the ideal candidate will be responsible for Office and Preparedness and Response administrative duties of a difficult nature involving considerable variety and complexity of assignments and requiring independent judgment in applying guidelines to work situations.
To perform these duties, the Workforce Institute Placement Division, Office of Preparedness and Response is seeking an energetic and experienced individual to join our dynamic team as the Health Preparedness Program Assistant. The ideal candidate must be a self-starter who is able to work in a fast-paced, ever-changing work environment; a leader who is able to work effectively within a team to ensure achievement of outcomes. This future employee will be expected to deliver a high level of customer support and service. The final candidate will need to have the right complement of skills, personality, and professionalism.

MAJOR DUTIES:
Responsible for Office of Preparedness and Response health education curriculum, health literacy workshops and training deployment to community stakeholders and promoting health wellness/resources.

BRIEF
DESCRIPTION:
  • Assist with programmatic objectives, marketing, data entry and dissemination of health education information and materials.
  • Support health-related programs on community health education, health literacy and related programming significantly impacting individuals’ health and wellness.
  • Provide administrative support for the department managers as needed.
  • Prioritize work according to departmental needs, determine workflow problems and develop solutions.
  • Receive, sort, analyze, and summarize material for the preparation of reports; maintain department records.
  • Analyze and prepare fiscal, financial, and statistical records and reports.
  • Prepare advanced word processing, spreadsheet, and presentation documents as assigned including manuals, brochures, reports, budget documents, and PowerPoint presentations.
  • Prepare, submit, and reconcile purchase orders, and other financial transactions.
  • Assist in the development of program evaluation tools, techniques, and methods.
  • Assist in the development and implementation of quality assurance/quality improvement measures for the department.
  • Refer and link people to direct service providers, including informal counseling.
  • Support monthly community meetings in-person and virtually with data capturing and program setup/registration

MINIMUM
QUALIFICATIONS:
High school diploma or equivalent plus additional specialized training and experience in administration, office management, business, or a related field as well as two (2) years of progressively responsible administrative experience; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities. Thorough knowledge of general office practices and procedures; considerable knowledge of office record keeping and reporting practices and procedures. Thorough knowledge of business English, grammar, and composition necessary to be able to communicate effectively, both orally and in writing. Possess considerable knowledge of efficient utilization of office equipment including personal computers and copiers. Proficient with the MS Office programs including Outlook, Word, Excel and Power Point.

Good working knowledge of MS Office (Word, Excel, Outlook and Power Point), data management systems, and the ability to use/learn electronic time-keeping program. Must be able to work sensitively and effectively with individuals of diverse educational, socio-economic and cultural backgrounds.

DESIRED
QUALIFICATIONS:
Four (4) years of progressively responsible administrative experience; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
