The Housing Assistant Controller will be responsible for managing the accounting of the Relay Housing entities, including the general ledger accounting, accounts payable, accounts receivable, cash receipts, inventory, and fixed assets. Responsibilities include period-end closing and reporting for housing and property management subsidiary companies including review of general ledger accounts reconciliation and analysis. The position will also be responsible for preparation of Relay’s subsidiary companies year-end audit schedules prepared by client (PBC), assistance with preparation of annual budgets, reporting of actual versus budget variances, and providing financial analysis and support to management as needed. This role also acts as the financial business partner to the Housing Asset and Property Management social enterprise. In this role, the Housing Assistant Controller will work directly with the Controller/Director of Finance, Assistant Controller and a small team of accounting staff and business unit managers.
MONTHLY AND ANNUAL FINANCIAL CLOSE

  • Responsible for managing general ledger accounting and timely period-end close for multiple housing entities, while adhering to Relay policies, procedures and closing schedule.
  • Coordinate monthly close to ensure all accounting activities related to Housing, Property Management, and Asset Management are on schedule to achieve timely close.
  • Keep Assistant Controller and Controller/Director of Finance appraised of the status of accounting close and other critical objectives.
  • Maintain and update daily status of reconciliations during the close.
  • Review monthly journal entries prepared by the Housing Accountant; Prepare and record monthly journal entries as needed.
  • Review monthly balance sheet account reconciliations for Relay housing entities and prepare adjustments as needed.

FINANCIAL REPORTING

  • Review actual expenses to budget and projection monthly and support business unit and department managers to research and analyze variances. Prepare property and housing entity level financial statements and reporting
  • Prepare and distribute various monthly, quarterly, and annual financial reports internally and externally
  • Manage and improve accounting procedures and processes
  • Maintain an adequate system of accounting records
  • Maintain and improve internal controls designed to enhance accuracy of housing financial statements and ensure that reported financial results comply with generally accepted accounting principlesProvide system administration to chart of accounts

OTHER ACCOUNTING DUTIES

  • Manage housing related fixed asset accounting. Prepare and maintain fixed assets and depreciation schedules. Analyze and compare fixed assets and depreciation to budget, preparing reports of assets purchased vs budgeted
  • Manage review of housing inventory and monthly inventory reconciliation
  • Conduct review of expense general ledger accounts to assure accuracy and proper classification of expenses; review and provide guidance to accounting staff regarding gen-earl ledger coding classifications and accounting entries
  • Monitor and review accounts receivable and accounts payable, prepare expense distribution analysis, assist Controller/Director of Finance and CFO with business unit profit-ability analysis, implementation of cost control measures and efficiency improvement programs as requestes
  • Provide guidance and assistance to accounting personnel to answer coding and technical accounting questions, assist with improving processes and documenting procedures.

FINANCIAL BUSINESS PARTNER

  • Collaborate with Housing team to ensure process and procedures are followed, and when necessary, development or changes include adequate internal controls
  • Support the preparation of the annual budget and quarterly projections including modeling scenarios, compiling budget worksheets, and working with business unit and department managers to refine their budgets
  • Provide support to housing and property management operations managers to research and analyze variances, perform rent and operational expense analysis, and financial portfolio analysis as needed.
  • Lead monthly financial statement meetings and review with the housing and property management operations team

AUDITS

  • Responsible for timely completion of reports and schedules prepared by client.
  • Provide analysis and explanations as required
  • Ensure timely completion of all audit support work. Coordinate with Controller on audit related issues to ensure timely resolution and adherence to audit schedule

QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • Bachelor’s degree in Accounting or Finance; CPA preferred but not required
  • Minimum of five years’ experience in accounting and two years of supervisory experience, with demonstrated increasing responsibility
  • Experience in property and asset management

KNOWLEDGE, SKILLS AND ABILITIES

  • Strong working experience with GAAP and technical accounting principles, laws, and regulations; ability to quickly learn and adapt to new regulations
  • Demonstrated success in advanced financial accounting and reporting
  • Highly detailed, analytical, and accurate with proven ability to synthesize and communicate technical accounting, reporting and compliance requirements
  • Advanced skills with Microsoft Office including Excel
  • Exceptionally organized and detail oriented
  • Able to maintain confidentiality and exercise good judgement
  • Capable of establishing strong working relationships with team members including the ability to leverage team strengths and to shore up areas for development
  • Ability to prioritize independently while managing multiple competing priorities
  • Ability to work both in a paper and paperless environment
  • Ability to pass drug screening, criminal history background and credit checks, and/or fingerprinting as appropriate at any time during employment

PREFERRED SKILLS

  • Working knowledge of the Yardi system preferred
  • Working knowledge of housing and property management industry

SCOPE & ACCOUNTABILITY

  • Manage the accounting of the Relay Housing entities including general ledger, accounts payable, accounts receivable, fixed assets, inventory, and cash receipts
  • Works cross-functionally with Controller and Housing teams to ensure accurate financial reporting and strong internal control environment

SUPERVISORY RESPONSIBILITY

  • This position supervises professional staff.
