Position Overview
The HR & Benefits Specialist is a critical role within the HR Department requiring in-depth knowledge of all employee benefit programs and applicable laws, as well as the ability to provide support in other areas of HR, including employee onboarding, employee relations, and employment law compliance. This position supports the administration of employee benefit programs, such as retirement plans, group health, dental, vision, short-term and long-term disability, life insurance, accident, savings and flexible spending accounts, and wellness benefits.
The HR & Benefits Specialist will be responsible for providing superior customer service in responding to benefit inquiries, preparing and maintaining benefit records, assisting with leave administration, explaining human resources policies and procedures, and staying up to date on changing laws/regulations and benefit trends. This position will make an impact on the company through daily human resource activities, project execution, and implementation of HR initiatives and programs in a way that ensures departmental and organizational goals are accomplished.
Duties & Responsibilities - General HR
- Partner in the communication of policies and processes for all HR-related programs; counsel employees in policy and procedure interpretation and compliance
- Act as a trusted advisor to employees in sensitive HR areas, such as employee relations, investigations, and leaves of absence
- Provide counsel to managers on employment matters, coaching, and corrective actions for employee performance issues; recommend proactive solutions, providing support as needed
- Assist with the execution of the attraction, selection, and onboarding strategy; serve as a consultative partner to hiring managers
- Conduct objective investigations to ensure a reasonable and compliant response to EEOC, NLRB, and DOL investigations in accordance with state and federal employment laws
- Remain up to date with federal, state, and local employment laws and regulations; ensure the maintenance of compliant employee records and files; monitor programs and processes for compliance; identify areas of risk and recommend improvements
- Manage relationships with vendors and external customers

Duties & Responsibilities - Benefits
- Actively support benefit enrollment and administration; provide benefit education to employees; respond to inquiries and assist with claims
- Assist with the open enrollment process and activities including presentations, preparation of open enrollment materials, communications, and other related activities
- Provide presentations on benefits, leave policies, and wellness program options to employees individually and during enrollment events
- Respond to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts
- Assist employees with time and leave questions; Process and administer leave of absence requests and related paperwork: medical, personal, disability, and FMLA
- Assist with the administration of the workers' compensation program, claims monitoring, report generation, and communication with employees, managers, and insurance carriers when needed
- Collaborate on the design and implementation of a wellness program; Manage wellness education on special interest topics focused on wellbeing and work-life balance
- Maintain accurate benefit records and reports; Audit and monitor employee enrollment with carriers and process life status changes
- Ensure the timely and accurate processing of all monthly benefit billings and invoices
- Assist with retirement plan audits; prepare, collect, and organize data for audit and annual 5500 compliance requirements
- Assist with ACA compliance-related projects including Form 1095c, Federal and State mandated filings, etc.
- Continually investigate new benefits programs, improve existing programs, and seek opportunities for improvement with the benefit plan administration
Required Skills/Abilities
- Bachelor’s degree in Human Resources or related field of study
- 3+ years’ HR experience and working knowledge of multiple human resource disciplines with an emphasis on benefit administration; compensation and payroll experience is a plus
- Working knowledge of and skill in interpreting and applying federal, state, and local statutes and applicable rules and regulations related to the management of employee benefits plans
- SHRM-CP and/or PHR certification is a plus
- Demonstrated ability to provide value-adding counsel and workable solutions to a wide range of employee relations issues
- Microsoft Office proficiency; HRIS administration experience preferred
- High level of detail orientation; ability to work quickly and accurately with complex data required
- Strong customer service orientation; exceptional interpersonal and collaboration skills with the ability to develop strong trusting relationships to gain support and achieve results
- Experience supporting initiatives and activities associated with organizational growth/restructuring
- Exceptional written and verbal communication skills; ability to effectively communicate across all levels and stakeholders of the organization
- Outstanding judgment and decision-making abilities under ambiguous circumstances; ability to solve problems with a tactful and resourceful approach
- Superior project management skills and time management skills with the ability to work quickly and adapt to a rapidly changing environment and manage competing priorities
- High level of integrity and adherence to maintaining confidentiality
- Ability to travel one to two times per year for conferences or remote site visits

- May experience long hours of standing and moving
- Must be able to lift up to 15 pounds at times
