Position Summary/Objective
The purpose of this position is to manage responsibility and/or assist with day-to-day processing and maintenance of group benefits programs, which may include: group health, dental, vision, STD, LTD, WC, life insurance, flex spending plan, and/or 401(k). The person in this position also has shared responsibility for developing and conducting employee training and wellness programs to improve individual and organizational performance, as well as acting as backup for payroll.
Essential Functions
- Oversee maintenance of employee benefits files and update employee payroll records. Provide customer service, information, and problem resolution to employees relating to benefits, payroll, etc.
- Update and maintain employee information in vendor portals, the payroll system, and HRB program. Audit and process invoices for benefits and verify eligibility and levels of coverage for participants.
- Compile and distribute materials (including summary plan descriptions) for benefits orientations, open enrollment, and departing staff. Develop communication tools to enhance understanding of company benefit package. Perform orientation in home office and off-site for staff. Explain company personnel policies, benefits and procedures to new hires.
- Plan and conduct the open enrollment process, including annual meeting and interaction with providers (2 wks/yr).
- Develop and implement wellness programs for all employees.
- Assist with the management of FMLA, STD, LTD and Workers’ Compensation claims, including: investigation and reporting for internal and external resources.
- Ensure compliance with applicable laws and regulations, such as PPACA, FMLA, etc. Monitor compliance with PPACA and annual 1094, 1095 reporting.
- Assist in the management of benefits programs, including analysis of new benefit plan designs and the plan renewal process. Assist also with the assessment of training needs through surveys, focus groups or consultation with internal and external sources.
- Develop, conduct, and track training programs for employees, including: safety, management training, etc.
- Plan, organize and coordinate training activities and develop or obtain training procedure manuals, guides or course materials.
- Offer compliance training on various issues (sexual harassment, unlawful discrimination, EEO, AA, ADA, FMLA, etc.), as well as management training on documenting employee relations issues (harassment allegations, work complaints, etc.).
- Prepare and present training sessions for on-the-job training and interpersonal skills to improve job skills and employee performance.
- Test trainees to measure progress and to evaluate effectiveness of training. Report and track progress of employees during training periods.
- Assist with development and enhancement of policies, procedures and programs. Work with the HR Team to foster positive attitude toward organizational objectives.
- Provide backup for Payroll function when required.
- Assist with recording and compiling statistical reports on personnel-related data (e.g. hires, transfers, absenteeism etc.). Also assist with the pre-employment process (applicant screening, interview process, background and drug screens).
- Assist with maintaining and updating HR documents (organizational charges, employee handbooks, directories, etc.).
- Study legislation, arbitration decisions and collective bargaining contracts to assess industry trends.
- Remain up to date on current HR legislation (EEO, AA, ADA, etc.).
- Maintain generalized HR skills and knowledge in order to provide support and backup in all functional areas of HR.
Work Environment
This position operates in a quiet office environment and receives occasional supervision.

Physical demands typical of this position
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit for long periods of time, stand, walk, use hands and fingers to operate a computer keyboard, mouse, cell phone and telephone or other office equipment. Perform repetitive activities and frequently work under stress. Requires close visual acuity to prepare and analyze data and figures and view a computer screen, as well as mental concentration. May require occasional lifting up to 30 lbs.
Supervisory Responsibility
This position has no supervisory responsibility.
Required Education and Experience
3-5 years of experience in HR
SHRM-CP or PHR Certification preferred
Knowledge of multi-state HR laws and regulations
Employee relations experience
Experience in benefits administration
Experience in employee training
Preferred Education and Experience
Associate or Bachelor Degree in HR or related field
Security Clearance/Background Check
Required.

Experience

- SHRM-CP or PHR certification preferred
- HRIS experience. UKG/UltiPro experience preferred.
