What you'll accomplish as a Hub Administrator:

New York City Hub Administrator is responsible for providing general administrative support and office coordination, welcoming visitors, coordinating meetings and events, assisting with the employee and visitor use of the space, and serving as the onsite facilities point of contact. The role requires the ability to work onsite at our Bryant Park location to support hub objectives.

This role requires the ability to work onsite to support internal and external key stakeholders. Additionally, this role requires COVID-19 vaccination unless you are granted a medical, religious, or state law accommodation/exemption.

What You'll Do:

  • Champion Customers: Serve as the first point of contact for hub-specific questions, including handling inbound and outbound mail correspondence, coordination of facility vendors and services, escalation of issues, and coordination of resolutions.

  • Act as Owners: Ensure a high level of customer/client satisfaction by establishing & maintaining positive relationships with employees and visitors, ensuring high-quality standards are met

  • Relate and Inspire: Triage hub-specific hoteling issues (user error, booking conflicts, etc.) and direct hoteling employees to other sources of support (HR, Technology, Facilities, etc.) as needed.

  • Elevate Every Day: Ensure a high level of Customer satisfaction and quality serving as the primary point of contact for visitors to the hub, providing an excellent visitor experience.

  • Provide general administrative support to the New York City Hub.

    • Serve as the hub employee's point of contact for meeting, event, and space utilization requirements.

    • Maintain office supplies for the hub.

    • Ensure technology is effective for users of the hub by escalating issues to the IT (Information Technology) and/or AV (Audio Visual) teams as needed.

    • In partnership with Hub leadership, identify and implement strategies to evolve the workplace experience within the hub to meet/exceed employee expectations.

    • Coordinate multiple priorities and demonstrate the ability to follow through on projects to completion.

    • Perform other duties and/or special projects as assigned.

Qualifications you'll need to succeed:

  • Associates or Bachelor's degree related to business administration or management or high school diploma/GED OR in lieu of a degree, 5+ years of experience in an office environment supporting and working with a team

  • 2+ years of experience in an office environment supporting and working with a team

  • 2+ years of experience with Microsoft, including Word, Excel, PowerPoint, Outlook, and Teams, and a willingness to learn other technologies.

  • Flexible - Willingness to work a flexible schedule, including early and evening shifts required to meet business requirements.

  • Experience working as an Office Manager or similar role at a large corporation supporting multiple Executive level leaders.

  • Strong ability to positively engage with a broad employee and visitor population, including executive leadership.

  • Excellent organization, prioritization, and time management skills.

  • Demonstrated ability to handle multiple priorities without supervision.

  • Proven track record of using sound judgment in decision-making, problem-solving, and conflict management.

  • Excellent verbal/written communication skills.

  • Ability to work with multiple levels of management internally.

  • High integrity & ability to handle confidential information.

  • Creativity and high energy level.

Eligibility Requirements:

  • You must be 18 years or older

  • You must have a high school diploma or equivalent

  • You must be willing to take a drug test, submit to a background investigation and submit fingerprints as part of the onboarding process

  • You must be able to satisfy the requirements of Section 19 of the Federal Deposit Insurance Act.

  • New hires (Level 4-7) must have 9 months of continuous service with the company before they are eligible to post on other roles. Once this new hire time in position requirement is met, the associate will have a minimum 6 months’ time in position before they can post for future non-exempt roles. Employees, level 8 or greater, must have at least 24 months’ time in position before they can post. All internal employees must consistently meet performance expectations and have approval from your manager to post (or the approval of your manager and HR if you don’t meet the time in position or performance expectations).
