Position Summary:

The Human Resource Assistant performs administrative tasks and services supporting effective and efficient operations for the department, including recruitment, benefits, performance management, employee relations, safety, and training. Built on the pillars of confidentiality, respect, compassion, and integrity, the assistant works cross-functionally with the HR team to support coordination and follow through on HR systems, processes, and efforts. Reporting to the Talent and Performance Manager, the Assistant supports the full HR team, working to gain a foundational understanding of the department. The Human Resources Assistant is organized, detail-oriented, and problem solver with an appreciation for accuracy and documentation. Solid intrapersonal skills and the ability to work quickly in a fast-paced environment is essential. Bilingual English-Spanish skills are critical for this role.

Essential duties and responsibilities:

Administration

  • Supports HR team to keep accurate and up-to-date employee records, data-entry, records, and documentation, striving for paperless solutions, and working the HRIS system.
  • Coordinates inquires made through to the HR team to ensure proper, timely, accurate follow-up with documentation in place.
  • Maintains a thorough understanding of the Boisset Employee Handbook.
  • Organizes documentation in HR systems to ensure all team members are aware of status related to employee or management needs.
  • Coordinates shipping area at Boisset Family Estates office to ensure deliveries are dispersed in a timely manner.
  • Represents Boisset Collection as a greeter in the reception area, helping people get where they need to be at the property.


Recruitment and Onboarding

  • Coordinates candidate interviews as directed by the Talent and Performance Managers.
  • Organizes times for reference checks.
  • Supports HR Generalist with needs for onboarding and orientation, including calendar needs.
  • Completes filing for new hires.
  • Partners with candidates to support successful completion of pre-hire and post-hire paperwork.
  • Represents Boisset Collection brands professionally, engaging candidates during each interaction.

Benefits Administration

  • Supports HR team with Open Enrollment as needed, prepare materials, schedules trainings, and educates staff on benefit programs and resources.
  • Documents employees for benefits related follow-up and inquires.
  • Supports the benefits monthly newsletter to share updates on programs.
  • Assists HR Manager with tasks related to benefits and rollout of wellness programs.
  • Supports wellness events and programs.

Performance Management

  • Coordinates and documents employee reviews as completed by the manager.
  • Assists managers with HRIS information to support their review process.
  • Calendarizes reminders for management on 30, 60, 90, and annual reviews.

Employee Relations & Internal Communications

  • Supports communications across all platforms, including, but not limited to emails, posters, ADP home page, newsletters, memos, and in-person conversions, in English and Spanish.
  • Helps distribute information to all departments.
  • Supports company programs related to wellness, sustainability, community, diversity and other causes.
  • Brings a customer service approach to Human Resources to ensure no request or inquiry is missed by the team.
  • Supports the HR Generalist with Spanish speaking needs.
  • Proof reads documents and learns canva program for HR related communications.

Safety & Training

  • Assists with safety, compliance, and other necessary training programs.
  • Supports managers and teams with safety initiatives and helps organize events as needed.
  • Partners with HR team on audits for ongoing training and certification needs for employees, reporting and communicating approaching deadlines to maintain compliance.

Additional Skills:

  • Excellent verbal and written communication skills in English and Spanish.
  • Strong interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.

Additional Functions:

  • Comply with all company safety policies, practices, and procedures. Participate in safety training and report all unsafe conditions or work practices.
  • Participate in team efforts and perform additional duties as needed.

Necessary Skills:

Language: Ability to speak and understand basic English required for all positions.

  • Ability to read and interpret documents such as memos, instructions, policies and manuals. Ability to write routine reports and correspondence. Ability to present information effectively to groups of customers and/or employees, and participate in one-on-one and small group situations.

Math:

  • Ability to add, subtract, multiply, and divide accurately, using standard American units of currency, weight, volume, and/or distance. Ability to recognize and correct inaccuracies when using calculator or computer spreadsheet.

Logic:

  • Ability to apply common sense understanding to multiple tasks, analyze and solve practical problems, prioritize and delegate tasks and projects, work both independently and as part of a team, and adapt to frequent changes in the work environment.

Computer:

  • Possess intermediate computer skills which can include email, internet, word processing, spreadsheet, and basic database activity.

Education, Experience, Certificates, Licenses:

  • Bachelor’s Degree (B.A. or B.S.) from a 4-year college or university; or 12-24 months related experience or training; or equivalent combination of education and experience.
  • Current, valid Driver’s License, insurable driving record, and proof of current automobile insurance required.

Physical Requirements:

  • Light physical activity performing non-strenuous daily activities of an administrative nature. Manual dexterity is sufficient to reach, handle items, and work with the fingers. May require lifting and moving objects up to 50 lbs. in weight. Clear vision, close and distant, and ability to adjust focus. Hearing adequate for telephone and office level conversation.

Work Environment:

  • Well lighted, heated and/or air-conditioned indoor office setting with adequate ventilation. Minimal noise level typical of business office: computers, printers, telephones, light traffic.
  • Primarily in a well-lighted, heated and/or air-conditioned indoor setting with adequate ventilation. Periods required in an un-heated indoor setting (wine cellar) with changing conditions. Short periods outdoors while conducting tours or moving between buildings. Moderate noise levels typical of public space: music sound system, public conversations, telephones/cell phones, large groups.

Schedule and Travel Requirements:

  • Regular business schedule: Monday through Friday. Overtime possible, but very infrequent.
  • Variable schedule: primarily a set schedule but may require weekends, periodic evenings, and/or periodic or seasonal overtime.
  • Travel required to various Boisset properties.
