The HR/Recruiting Coordinator is responsible for a wide variety of HR Administrative and Recruitment functions within the Human Resources Department. Performs Human Resources related duties at the professional level and carries out responsibilities in some or all the following functional areas: Recruitment, Payroll – ADP WFN, Benefits Administration, etc. Maintains HR policies and procedures.

What you’ll do…

  • Administers pre-employment drug tests, background checks for all employees
  • Prepares and distributes offer letters and new hire paperwork for all new employees
  • Compiles and processes payroll and related data such as Tax Levy, Child Support and Garnishments.
  • Maintains Biweekly, Monthly, Quarterly and Yearly Payroll Records, Payroll deductions, and maintains PTO Request in a timely and accurate manner
  • Reviews and processes all incoming HR paperwork from employees. Seeks clarification and obtains missing information, when necessary, before processing.
  • Administer and Maintains I9 Binder and process all E-Verify within 72 hours of Hire Date
  • Maintains physical and digital files for employees
  • Responds to routine questions from employees and applicants, and includes the Director of Human Resources on all correspondence
  • Provides HR policy guidance and interpretation
  • Creates and maintains employee hard copy and digital personnel files and other departmental files. Responsible for departmental filing
  • Compiles and maintains personnel records and documenting personal data, ESCs, Compensation, Benefits, Performance Reviews, Disciplinary Actions, and Termination Records
  • Communicates Benefit Enrollment Eligibility to New Hires via on-line web-based enrollment systems. Maintains employee benefits deduction data in HR/Payroll database. Notify Health Insurance Brokers on all Terminations
  • Creates and maintains employee benefits files and ensures confidentiality
  • Administers and tracks employee leaves of absence, FMLA and COBRA on Cobra Service vendor site EBC.
  • File and monitor Worker’s Compensation claims, coordinates paperwork, wage statements and responds to requests for information and assists when necessary
  • Maintains a variety of Human Resource data on Excel spreadsheets. (e.g. compensation history, pre-employment candidate pipeline, turnover, annual billing)
  • Creates reports from HRIS database as needed and prepares Year End Reports as requested and needed
  • Coordinate Birthday announcements and update ADP Portal with Anniversaries and Birthdays
  • Responds to verbal and written requests for employment verification
  • Responsible for the administration and reconciliation of some invoices including but not limited to: Quick Search, ADP, etc.
  • Opens, date stamps, and distributes all incoming mail for the HR Department
  • Perform recruiting duties for open positions as determined by the Corporate Recruiter, duties include initiating requisitions from Hiring Managers, screening candidates, scheduling interviews, and coordinating temporary staffing needs
  • Review job postings on All Recruiting CRMs JazzHR, Recruiting.com and Handshake
  • Find, engage, and activate passive candidates via LinkedIn, Handshake, and other recruiting platforms
  • Maintain an active presence in professional groups via LinkedIn and develop a network of potential candidates and industry professionals
  • Interview potential candidates at various stages of the hiring process (phone screening calls, video interviews and in-person meetings) using industry-standard techniques
  • Maintain and update candidates and open positions via the applicant tracking system and internal recruitment management system
  • Focus on providing a great candidate experience at every opportunity through exceptional written and verbal communication
  • Send recruitment and follow up emails with potential candidates and Hiring Managers and include the Director of Human Resources and Corporate Recruiter on all correspondence
  • Ensures compliance with all applicable local, state and federal laws.
  • Performs other related duties and assignments as required and upon request.

What you’ll need…

  • 3-5 years of experience as a Human Resources Generalist and Recruiter SHRM Professional SHRM-CP or HRCI (PHR) certification a plus
  • Bachelor’s Degree in Human Resources or related field. Prior Human Resources Experience.
  • Knowledge and Experience with HRIS systems a must, ADP Workforce Now a plus
  • Advanced computer skills including internet, e-mail, (MS Outlook) MS Excel, MS Word and MS PowerPoint
  • Prior knowledge of standard HR Practices, Benefit Administration and Recruiting
  • Must have a high level of accuracy and attention to detail
  • Flexibility and must be able to multi-task and work well independently
  • Effective oral, verbal, and written communication skills
  • Maturity, good judgement, and excellent interpersonal skills
  • Responsiveness and excellent “customer service” skills
  • Ability to handle stressful situations in a professional manner
