The Kodiak Area Native Association (KANA) has been providing exceptional patient and family focused health care and social services to the people of Kodiak Island since 1966. KANA’s patient-centered medical home model incorporates Behavioral Health, Dental, and Pharmacy services within the primary care setting to facilitate an advanced support system that ensures our patients’ needs are met. KANA also offers Child Services and Youth Prevention programs; Women, Infant and Children (WIC); Vocational Rehabilitation; Employment and Training services; Early Childhood and Infant Learning, and a full service fitness center to support the whole person.
The Intake Services Coordinator manages all incoming referrals to the Behavioral Health (“BH”) Department; maintains a waitlist of individuals seeking services and triages them appropriately. Conducts intake appointments and works closely with BH providers to assist in placing individuals for services.
Essential Duties and Responsibilities include the following. Other duties may be assigned.

- Conduct intake appointments for new BH clients, to include reviewing/administering informed consent, orientation to services, releases of information, consents for treatment, screenings, and other relevant intake items.
- Manage all BH client referrals by accessing and utilizing the electronic health record as well as utilizing any necessary additional tracking system to maintain contact with referrals according to KANA policy.
- Manage all BH waitlists and conduct a weekly waitlist review to ensure that contact(s) with individuals on the waitlist(s) are made in accordance with KANA policy.
- Work with clients and referral sources to secure referral documentation such as court orders, service plans, treatment records, etc. Common referral sources include ASAP, adult probation, OCS, KWRCC, etc.
- Prioritize clients as “urgent” or “non-urgent” according to policy. May also be the initial point of contact to assist in triaging crisis clients to the appropriate provider.
- Attend weekly case assignment or clinical meetings, in which clients are assigned to clinical staff/providers.
- Work closely with rural providers such as Behavioral Health Aides and Community Health Aides in order to ensure that intake appointments for village-based clients are coordinated efficiently.
- Work closely with registration specialists and providers to schedule integrated behavioral health assessments and substance use disorder assessments with appropriate clinical staff.
- Coordinate with BH Case Managers to provide external referrals for individuals who are not appropriate for KANA BH services.
- Complete required documentation to meets requirements set forth by state and federal regulations, KANA policies and procedures, and applicable accrediting agencies or grantors.
- Collaborate with Associate BH Director and other key individuals where appropriate to assist with implementation of Routine Outcome Monitoring (ROM).
- Communicate regularly with other members of the client’s care team, including referral sources, medical providers, administrative support staff, etc.
- Attend all required staff and supervision meetings and department-wide training.
- Upon the request of the BH Director or designee, compile data and report as needed.

Associate’s degree in related field preferred, or 2 years of relevant work experience; or any equivalent combination of education and experience.
