Description

Homeless Solutions has been the leading provider of shelter and affordable housing and related supportive services in Morris County for 40 years. Our talented and compassionate staff make a difference every day in our community by providing access to safe and affordable housing to those in need.

The Homeless Solutions Interim Property Management Administrator is responsible for contributing to the day to day operations for all Homeless Solutions (HSI) owned or managed permanent residential properties through related administrative support tasks. This role will ensure a high level of professionalism in property issues, including timely response to and resolutions of any tenant requests or concerns. This is a temporary, full time, non-exempt, onsite position working primarily out of our Cedar Knolls administrative offices, and provides administrative support to the Housing Development department and the Director of Asset Management. Flexible hours, 30-40 per week, between 7am and 6pm, may be accommodated. The anticipated duration of the role is 3-6 months, with potential for permanent hire based on organizational need and fit.

This position is responsible for implementing our high standards for the maintenance and upkeep of our growing property portfolio, and for imparting that philosophy on HSI tenants.

Tenant Relations

Manage resident relations issues, including taking resident phone calls, requests, and concerns.

Disseminate all pertinent building information to tenants through email, call posts or notices/flyers.

Monitor and maintain billing/invoicing records for rent collection in the MRI (property management) system.

Collect and deposit rents. Post resident monthly service charges into MRI system, and monthly Housing Assistance payments.

Communicate with residents regarding rent and past due balances. Deliver rent statements and delinquency notices.

Prepare and facilitate reminders, payment arrangements, and/or legal eviction procedures according to company timelines.

Manage maintenance work order system. Schedule and update maintenance work orders.

Communicate regularly (daily) with maintenance staff and tenants.

Assist in scheduling vacant units for turn-over and occupancy.

Assist with processing rental applications.

Be an active participant on the HSI team and work collaboratively with other staff, attend trainings, staff and organizational meetings, and complete special projects as directed by management.

Perform other duties as assigned.

Exhibit strong personal accountability for awareness of and adherence to company standards, policies, procedures and processes in all aspects of employment with HSI.

Requirements

One to three years of administrative support experience is preferred.

High School diploma or equivalent (GED), Undergraduate degree preferred.

Preferred basic knowledge of standard bookkeeping principles and practices is preferred. Property Management/rental management experience is preferred.

Bi-lingual (English/Spanish) preferred.

Supportive of the mission of this non-profit organization, compassionate to tenants, and understanding of the challenges of the community we serve, while maintaining professional and productive communications.

Flexible in response to changing priorities in a fast paced housing rental management environment.

Satisfactory results of regular periodic background checks.

Excellent oral and written skills, and organizational skills.

Demonstrated interpersonal and conflict resolution skills, using patience and consideration of individual tenant circumstances, while acting in the best interest of the organization.

Ability to organize, work independently, delegate, negotiate and problem solve.

Strong computer skills, including Microsoft Office products, as well as the ability and willingness to learn and use new programs, applications and software a necessary.

Able to sit, stand, and walk for short distances and in an office environment. Vision focus at short ranges for extended periods of time.

Regular and predictable on-site attendance during the hours required to satisfactorily complete this job is an essential requirement of the position.

Additional Information

Full time permanent staff of Homeless Solutions are eligible to enroll in fully paid medical, dental and life insurance coverage plans in accordance with HSI policies.
