Who We Want

Under supervision of SFUSD’s Equitable Services Administrator, the 1840 Junior Management Assistant will support the Equitable Services to Nonprofit/Private Schools work stream. This position will play a key role in the operations of providing federally mandated direct services to private school students, families, and teachers.

This position will be .5 FTE, serving 20 hours per week during normal business hours. This position is a 3-year assignment.

Main duties will include:

  • Support the facilitation and reporting of compliant expenditures of federal funds for nonprofit private schools (i.e., Equitable Services to private schools under ESSA).
  • Create, manage, and maintain complex/comprehensive annual budget tracker for expenses of approximately 40 private schools across multiple federal funding sources.
  • Manage weekly reconciliation of school federal budgets (internal budget tracker against District-wide reporting database) while tracking pooled contracts across multiple federal grants.
  • Manage compliant payment of federal contractors: preparing statute-related justification documentation for invoice submission, tracking of each payment in multiple cross-functional areas.
  • Assist in preparation of reports for monitoring compliant fiscal and student-related services, including multiple bi-annual Consolidated Application federal reports. Reports are prepared in Google Sheets utilizing various complex data analysis and presentation tools.
  • Assist in research for and development of statute-based guidance documents for private school leadership to support compliant and efficient procedural follow-through.
  • Manage processing of all invoice payments, following District protocols. Collaborate with SFUSD’s Purchasing and Accounting Departments when needed.
  • Assist in service contract development following compliant procurement rules and in accordance with multiple federal grant guidelines.
  • Analyze multiple data points to inform program monitoring and systems of support to schools.
  • Assist in annual internal audit of school-specific applications for federal funding.
  • Assist in monitoring of contracted services by maintaining various service delivery trackers across federal guidelines and communicating status updates.
  • Manage coordinated collection of insurance requirements from federal contractors, providing technical guidance to contractors and insurance brokers, and collaborating with SFUSD Risk Management when needed.
  • Assist in ongoing student Title I-eligibility review for Title I-funded direct student instructional and counseling services.
  • Supervise and monitor monthly timesheet review and collection for Title I-funded counselor Trainees, providing technical guidance where needed.
  • Support Equitable Services document collection during State and Federal Programs monitoring reviews.
  • Performs related duties and responsibilities as assigned.

Minimum Qualifications

Possession of a baccalaureate degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education, or related field, or other areas closely related to specific department program or function.

Substitution: May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units
