Temporary position covering maternity leaves. March 2023 - September 2023. M-F 8:30AM-5PM.

Overview:

Performs all clerical duties as requested or assigned by legal and/or administrative support staff.

Duties:

  • Support of Secretarial Staff
  • Open all new client matters following appropriate Conflicts and Billing procedures including completion of necessary forms correctly and completely along with providing complete information/data required
  • Photocopy, scan, and assemble documents for mailing/filings and other document productions
  • Out-of-office delivery of documents
  • Accurately create, maintain and enter information into software databases (i.e. MatterLink, CoreRelate, Information Records Management)
  • Maintain electronic document management in iManage Work 10 utilizing appropriate naming conventions designated by Practice Group
  • Effectively assist with word processing of documents utilizing firm technology
  • Enter time, expenses and invoices into applicable software (i.e. Intapp, Chrome River)
  • Ensure all necessary supplies for projects are on hand and in sufficient quantities
  • Organize attorney travel by booking flight reservations and other accommodations as requested
  • Produce, review and proofread correspondence, memoranda and other legal documents

Equipment:

  • Download Neopost postage updates and replenish postage as needed along with troubleshooting when machinery fails and notify service as needed for repairs
  • Troubleshoot photocopier, scanner, and other equipment problems when machinery fails and notify service when appropriate for repairs.

Records Management – Active File Facilities:

  • Maintain client files to accommodate closing of files upon completion of matters
  • Assist in preparation of files for closing and destruction, as appropriate, upon completion of retention period
  • Maintain active file facilities which includes moving and stacking of file boxes

Miscellaneous Responsibilities:

  • Distribute incoming mail and packages upon arrival
  • Provide BTV cell phone coverage for breaks and lunch
  • Order, pick-up and deliver lunches for client meetings and gatherings
  • Deliver bank deposits for Firm and/or clients
  • Prepare daily check list for Accounting
  • Organize travel by booking accommodations and reservations as required
  • Maintain appearance of conference rooms upon completion of client meetings and other gatherings
  • Replenish supplies, as needed, in conference rooms
  • Help organize and maintain office common areas
  • Perform other office-related tasks as requested and/or needed.

Essential Functions and Minimal Qualifications:

  • Valid driver’s license
  • Registered vehicle with current inspection and insurance
  • Proficiency in Microsoft platform and its applications
  • Possesses a pleasant and professional demeanor at all times with clients, guests, and other visitors, support, and legal staff
  • Has capability on occasion to work extra hours or overtime as needed to meet client needs
  • Able to lift 30 lbs
  • College graduate and a minimum of one year work experience in a clerical position in a law firm, corporate legal department or other comparable experience

Desired Qualifications:

  • Familiarity with legal procedures and terminology

Supervised by:

  • Office Manager.

Job Types: Full-time, Temporary

Pay: $23.00 - $25.00 per hour

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday

Ability to commute/relocate:

  • Burlington, VT: Reliably commute or planning to relocate before starting work (Required)
