Overview
The Manager - Facilities Administration position has direct oversight and coordination of building maintenance, enhancements, capital projects as needed, contract management of existing and future facility maintenance services; as well as, responsible for planning and projecting future building maintenance needs at all 30 Library locations.
- Manages and supervises facility maintenance at the Central Library, Bookmarks @ NorthPark (as necessary), 2 DISD co-locations and 26 branch locations
- Evaluates work order status, resolves any outstanding maintenance issues, reviews work methods and procedures, and coordinates activities to ensure effective and efficient resolution
- Develops and maintains cooperative working relationships and leads in the facilities activates that support the City and Library department
- Develops leadership in others through coaching, mentoring, rewarding, and guiding employees
- In partnership with City Bond Office and Building Services departments, oversees construction of new facilities, building renovation, and ensures new furniture and equipment is installed at all new facilities; tracks, compiles, organizes, and delegates work orders ensuring successful completion according to specifications
- Participates in the development and implementation of annual work plans, department goals, and annual budget; and exercises control over the expenditure of funds
- Facilitates departmental organization, policies, procedures, and overall work priorities to accomplish department goals and objectives; monitors and maintains records of facility maintenance, repair, and renovations
- Communicates progress and status of work; provides informational presentations to City council, department heads, and other groups as necessary
- Oversight of routine security services at the Central Library and branch locations, election coverage and special events
- Management of building security (and CCTV) and fire alarm monitoring, repairs, service calls and inspections coordinated at all library locations through contracted vendor
- Management of landscaping (including tree) and irrigation services provided at Central Library and branch libraries locations through contracted vendor(s)
- Fixed assets management
- Coordination of facility related needs to support special events at Central and branch libraries
- Position requires on-call, weekend and evening work schedules
- Performs any and all other work as needed or assigned.
Education & Experience
Bachelor’s degree with 4 or more years of experience in facility maintenance and management
2 years in a supervisory or administrative capacity preferred
Licenses and Certifications
Valid driver’s license
Knowledge, Skills, and Abilities
Knowledge of supervisory and managerial techniques and principles- Knowledge of fundamental inventory control procedures and warehouse procedures
- Knowledge of equipment, vehicles, materials, and methods used in building and grounds services
- Knowledge of local ordinances and building codes
- Knowledge of proper safety practices, procedures, and regulations as applicable
- Ability to perform project management and oversight
- Ability to organize work, set priorities, meet deadlines, and follow up on issues
- Ability to direct and oversee staff performing various tasks on projects
- Ability to monitor, develop and implement budget and contract specifications
- Ability to monitor safety and security
- Communicating effectively both verbally and in writing
- Establishing and maintaining effective working relationships
