DEPARTMENT DESCRIPTION

Supply Chain Management: Distribution Services is comprised of the Aggie Surplus, Bulk Mail Services, Central Receiving, Central Storehouse, SCM: Stores, Mail Services (campus and UCDHS), Microscope Services, Special Services, and related programs.

This position is one of three Principal Mail Processors at UCD, UCDH Mail Services primarily responsible for overseeing the processing, transporting and retrieval of materials, including but not limited to mail, office supplies, controlled substances, and confidential records.

JOB SUMMARY

Under supervision, incumbent performs a variety of duties related to the processing of U.S. and campus mail in accordance with campus and US Postal Services (USPS) rules and regulations.

PHYSICAL DEMANDS

  • Position requires lifting up to 70 lbs.
  • Ability to safely perform heavy tasks using continuous movement (e.g. stoop, bend, reach, twist; climb, squat, etc.) to lift and move cumbersome objects.
  • Work in areas with heavy accumulation of paper dust.
  • Must stand for extended periods of time.
  • Must wear protective clothing (i.e. steel-toed/close toed shoes, gloves, pants, hard hat, etc.) as applicable.
  • Must adhere to departmental uniform and apparel guidelines.
  • Continuously walk and deliver mail and packages to departments.
  • Work in inclement weather
  • Work in areas without heating and air conditioning.

WORK ENVIRONMENT

  • Employment is contingent upon the successful completion of background investigation
  • Position will participate in the Department of Motor Vehicles (DMV) Pull Notice System
  • A valid California Driver’s License is required.
  • Ability to work a flexible schedule; work occasional overtime; work occasional varied lunch hours, and work occasional weekends and holidays. Restricted vacation during peak periods.
  • Remain flexible and willing to work/travel to UCDHS Mail Services in Sacramento. When assigned to work at UCDHS Mail Services, must participate in UCDHS’ Medical Clearance Program that involves a TB skin test, and confirmation of immune status for measles, rubella, and varicella.
  • Position requires employee to work with or be in areas where hazardous materials and/or infectious-diseases are present.
  • Required to complete online (LMS) HIPAA 101, and Privacy Security Training classes within 10-days of initial employment.
  • Adhere to department uniform policy and personal protective equipment requirements

QUALIFICATIONS

Required:

  • Demonstrated experience working in a deadline driven environment with proven time management and organizational skills
  • Experience delivering materials within a busy pedestrian environment involving bicycles and skateboards etc.
  • Knowledge of and demonstrated experience leading teams and scheduling assignments in a production environment.
  • Demonstrated communication skills to effectively and professionally facilitate both internal and external customer requests via phone, email or in person Demonstrated knowledge, understanding and experience working with US Postal Regulations. Demonstrated knowledge of UC Davis campus geography and departments
  • Knowledge of and demonstrated skill to safely and effectively operate material handling equipment. Knowledge of and ability to use computer hardware and software (e.g., email, Microsoft Office Suite, internet navigation).
  • Typing skills including 10-key. Ability to read and follow policies, instructions on hazardous materials shipping requirements and regulatory guidelines; packing slips, shipping orders, memos, etc.
  • Writing and printing skills to annotate delivery receipts, shipping memos, etc.
  • Understanding of and skill to perform basic mathematical calculations.

Preferred:

  • Demonstrated experience working with automated mail equipment (i.e. OPEX, postage meters)
  • Demonstrated experience working with mail processing computer programs (i.e. MOS, FedEx, UPS, etc.)
  • Experience handling sensitive mailings (e.g., paychecks, sure-pay stubs, W2’s etc.) while maintaining strict security and confidentiality.
  • Ability to adhere to campus policies, procedures and to its Principles of Community.
  • Demonstrated skills to effectively communicate with peers and superiors.
  • Demonstrated skills to work independently (self-starter) and efficiently at all times.
  • Ability to remain cordial and communicative at all times.
  • Ability to provide exceptional internal/external customer service and conduct oneself in an ethical and professional manner.
  • Demonstrated knowledge to ensure that postage rates applied to outgoing mail are in accordance with US Postal rules and regulations.
  • Knowledge and skill to accurately reconcile daily postage expenditures.
