Position Summary:
Responsible for the overall performance of the Collateral Management and Document Management Departments

Responsibilities/Duties

Essential Duties and Responsibilities:

  • Management level oversight of:the Collateral Department's' moving and safeguarding collateral documents. assignments as needed - researching, preparing, obtaining signatures, recording, and tracking
  • Compliance Letters as required of new acquisitions
  • Research issues with title, loan origination, property, etc.
  • Imaging of all collateral documents and servicing files to ECM and Doc Net
  • Payment of Due Diligence invoices to be paid by the Investor
  • Repurchase requests with the investor and prior lender; monitors and follows up as needed
  • Compilation of claims against Reps and Warrants; coordinate with Investors and vendors
  • Movement of assets into and out of the Trusts
  • 404 Compliance Letters when moved into the Trusts
  • Responsible for reporting of status and activity of the department to senior leadership
  • Ensure the highest level of internal and external client service
  • Provide support and direction to peers/managers within the corporation
  • Ensure that all Securitizations and Agency portfolios are serviced in accordance with all applicable Pooling and Servicing Agreements, all investor/state/federal/compliance/and regulatory guidelines
  • Identify, manage and implement long-term projects and process procedure improvements to ensure timely and accurate reporting
  • Offer best practices to assist growth revenue and decrease expenses while maintaining the highest level of service to our investors
  • Represent the organization in internal and external cross-functional relationships between other departments
  • Represent Collateral Management Department on projects related to process improvements
  • Look for ways to continually improve performance and look for innovative solutions to problems
  • Directs mailroom operations and vendors by monitoring reports, ensuring that SLA's are being met, escalating issues and maintaining frequent contact
  • Designs and implements long-term strategic goals and short-term tactical plans for managing and maintaining mailroom and imaging systems and processes
  • Analyzes business needs and works with Business Intelligence to implement technical solutions
  • Ensures that proposed and existing systems and processes are aligned with organizational goals and objectives
  • Assures the appropriate management of electronic and paper documents
  • Implements and maintains policies and procedures for mailroom and imaging areas
  • Identifies processes across the organization that can be improved through automation
  • Performs regular audits of files and documents stored with offsite storage vendors
  • Supports audits (internal, external, 3rd party) in order to verify that regulatory and quality requirements are being met
  • Directs, trains, and develops mailroom staff
  • Maintain high level of confidentiality to protect privacy rights
  • Recognizes and recommends operational improvements
  • Establishes internal controls to reduce errors and customer complaints
  • Develops and maintains department policies and procedures
  • Provides coaching, training and development to staff to ensure company and department goals and key performance indicators (KPIs) are met
  • Measures and documents staff performance, attendance and compliance with job duties, expectations, regulations, guidelines, policies and procedures
  • Prepares and provides monthly reports to senior management

Required Experience

Education/Experience: High school diploma or general education degree (GED) required. Bachelor's degree (B. A.) or higher in business related field from an accredited four-year college or university preferred. Four to ten years' related experience and/or training required. At least two years' experience in supervisory or team lead role required.

  • In addition to having problem resolution skills, the individual must be analytical, organized, detail oriented and have the ability to consistently meet multiple deadlines.
  • The individual must also possess strong verbal and written communication skills and be team-oriented.
  • Prior underwriting experience and the ability to ensure loans adhere to targeted investor guidelines along with extensive knowledge in loan documentation and exception clearing and a thorough understanding of prime, sub-prime, and highly distressed loan portfolios is also required


Computer Skills:
Working knowledge of and experience with Microsoft Office (Word, Excel, and Outlook). Previous experience with Kofax and Sagent preferred.


Supervisory Responsibilities:
Responsible for the overall direction, coordination and evaluation of their department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, training, planning, assigning and directing work, appraising performance, rewarding and disciplining employees, addressing complaints and resolving problems.
