The Hallie Q. Brown Community Center is hiring a Manager of Administration to oversee Administration services. This position will plan, direct and coordinate the Administration services of the organization. Duties will include financial data, information management, mail distribution and other office support services including supervision of administrative support.

JOB RESPONSIBILITIES:

Contractual Partner Liaison

  • Acts as first point of contact with Collaborative service model, MACC as HR, Finance and Accounts Payable contract
  • Sets goals and deadlines for team
  • Analyze internal process and recommend and implement procedural or policy changes to improve operations such as supply changes or the disposal of records
  • Communicate with and provide guidance for external contractual partners and vendors to ensure the organization, department, or work unit's business needs are met.
  • Oversee payroll functions, such as maintaining timekeeping information and processing and submitting payroll.

Administrative

  • Plan, administer, and control budgets for contracts, equipment, and supplies.
  • Read through contracts, regulations, and procedural guidelines to ensure comprehension and compliance.
  • Coordinate process and procedures for expenses by the organization, communicate, train and maintain integrity of the policy
  • Manage the front office, order supplies (manage the process with the admin assistant role)
  • Organize breakroom and copy room as needed
  • Order office and program supplies as needed
  • Wash dirty dishes in breakroom (this is a shared task among operations manager, office manager and assistants)
  • Provide admin support for CAI – check requests, contract requests, financial status requests

Financial

  • Prepare and review operational reports and schedules to ensure accuracy and efficiency
  • Prepare Accounts Payable, review provided reports
  • Knowledge of and preparation of Budget process for organization
  • Prepare Accounts Receivable, prepare reports (including preparing checks to sign over $500)
  • Prepare reconciliation reports of accounts and grants for reporting

REQUIRED QUALIFICATIONS:

Education and Experience:

  • Associate / Bachelor’s in Business Administration or in a relevant field, or demonstrably equivalent knowledge gained through alternative courses of study and life experience.
  • Minimum of 3 years of work experience of experience in various office functions preferred.
  • Interest in the human services nonprofit sector required; experience working in a nonprofit setting preferred, Rondo area knowledge desired.

  • Knowledge and experience working with culturally and racially diverse populations in many different socio-economic conditions.
  • Demonstrated active listening skills, giving attention to the team and key stakeholders.
  • Ability to prioritize completing priorities and meet deadlines.
  • Ability to demonstrate knowledge in service, relationships and conflict management, including interpersonal skills.
  • Microsoft Office Suite experience including all Office products, Dropbox and file sharing.
  • Ability to react quickly with sound judgment and problem solving skills in complex & critical situations.
  • Excellent verbal and written communication skills.
  • Ability to work effectively with employees, colleagues and manager.

Licenses and/or Certifications:

  • Valid MN Drivers’ License, access to reliable transportation, and the ability to meet Hallie’s driving record requirements.
  • Must have completed COVID-19 vaccination and/or will have completed the vaccine before starting; Hallie Q. Brown can provide vaccination resources if needed.
