SALARY:
Depending on qualifications & experience of candidate. This position is exempt and is not eligible for overtime compensation.


GENERAL STATEMENT OF JOB:

Position will be responsible for oversight of day-to-day activites within the Portfolio Project Management Office (PPMO). Position will work closely with business owners and key stakeholders to ensure projects meet organizational goals and requirements. This position will be responsible for working with project managers, business analysts and project coordinators to maintain adherence to approved methodologies and key performance indicators, monitoring project budgets and that project milestones are achieved.

Note: This position requires access to, and use of confidential healthcare information or protected health information (PHI) as described in laws addressing patient confidentiality, including, but not limited to, the federal HIPAA law, the Confidentiality of Alcohol and Substance Abuse Patient Records law, 42 CFR Part 2, and various state laws. As such, the individual filling this position shall be required to be trained regarding such laws and shall be required to observe those laws in his/her capacity as an employee of Vaya Health. The individual filling this position shall also sign a confidentiality statement as an employee of Vaya Health.


ESSENTIAL JOB FUNCTIONS:

Project Management Support

  • Ensure successful implementation of the PPMO’s strategy, responsibilities, services, and deliverables
  • Provide and maintain capacity planning and resource tracking
  • Monitor program and/or portfolio logs (risks, action, decision, and issues) and escalate as needed
  • Ensure cross-portfolio dependencies are managed and monitored
  • Coordinate project closures to ensure lessons learned are documented and communicated
  • Define and embed project control and governance
  • Provide Project Planning, Milestone management, Scope Management
  • Collaborating with other department leaders to define, prioritize, and develop projects.
  • Planning project management, including setting deadlines, prioritizing tasks, and assigning team members to various deliverables.
  • Overseeing the development of the project and ensuring that team members are carrying out their tasks efficiently while upholding the company's standards.
  • Drafting new and improving existing project management office policies and processes.
  • Develop and maintain reports to for monitoring projects to ensure they are meeting department and organizational standards, adhering to budgets, and meeting deadlines.
  • Accurately documenting the project's creation, development, and execution as well as documenting the project's scope, budget, and justification.
  • All other tasks as assigned by PPMO Director

Supervision

  • Setting goals for performance and deadlines in ways that comply with the organizations plans and vision
  • Organizing workflow and ensuring that employees understand their duties or delegated tasks
  • Monitoring employee productivity and providing constructive feedback and coaching

Reporting

  • Develop and maintain portfolio and project reporting metrics that will be utilized for various audiences including staff, senior and executive management, Board of Directors, and external stakeholders
  • Develop and maintain PPMO specific reports and metrics to help PPMO director manage PPMO resources
  • Analyzing financial data, including project budgets, risks, and resource allocation.
  • Providing financial reports and budget outlines to PMO Director.


QUALIFICATIONS & EDUCATION REQUIREMENTS:

A High School Degree is required, a Bachelor's Degree in Management Information Systems, Business Administration, or other related fields is preferred, with 5 years’ experience in Project Management of which 1 year is experience in a supervisory position.


PHYSICAL REQUIREMENTS:

This position must have the ability to establish appropriate and respectful relationships/partnerships with organizational personnel. Ability to work with a multidisciplinary team approach. Ability to assume a helping role and to intervene appropriately to meet the needs of providers, consumers or families served. Works within the established ethical guidelines developed for the profession.


KNOWLEDGE, SKILL & ABILITIES:

  • Strong leadership skills
  • Excellent written and verbal communication skills
  • Ability to work with all internal and external stakeholders
  • Adept at project and change management
  • High level of knowledge regarding Healthcare Administration on the Payor side
  • Able to work in a fast-paced environment
  • Intermediate or Expert skills in Office 365 suite of products, including Visio, MS Project,
  • Intermediate or Expert skills with Smartsheet


LICENSE/CERTIFICATION:

PMP, CSM, LSSBB or other project management certification preferred
