Overview:

The Medical Equipment Planner is responsible for the planning, procurement, and installation of medical equipment on a healthcare transition management project.

Responsibilities:

Medical Equipment Planner typical responsibilities and duties include, but are not limited to the following:

  • Understand and manage the validation of new equipment for procurement and existing equipment targeted for re-use
  • Review floor plans and develop a comprehensive equipment list inclusive of descriptions, locations, quantities, installation requirements and vendor/manufacturer contacts
  • Work with hospital's purchasing group to develop preliminary equipment cost projections, including all leased equipment as identified by the Owner
  • Manage coordination with vendors and gather cut sheets and specifications for medical equipment
  • Validate that utilities shown in equipment cut sheets match the utilities shown on construction documents
  • Validate existing equipment planned to relocate with stakeholders, capture requirements for coordination of specialized vendors, identify existing warranties or maintenance agreements and renewal of licenses related to new location
  • Develop and maintain master equipment list with procurement lead times, equipment order dates, forecasted receipt and installation timeframes in coordination with the overall project schedule
  • Identify and secure quotes from required outside resources for certification or testing of new equipment and preparation, deinstallation and reinstallation of equipment designated for relocation; incorporate into master equipment list
  • Identify building modification requirements and architecturally significant equipment and coordinate with the clinical lead, contractor and/or architect
  • Identify specialized vendors for preparation, relocation and reinstallation of equipment 11. Coordinate hospital or healthcare facility testing and acceptance requirements for medical equipment through a series of meetings with key stakeholders
  • Manage the procurement of new medical equipment through your organization’s procurement system in support of the overall occupancy schedule
  • Develop a preliminary procurement strategy based on integration with the construction schedule, manufacturer lead times, timelines for CCMC and CFAM’s decisions and approvals, and potential for packaging to maximize cost efficiency
  • Facilitate a fair and equitable request for quotation, bid and purchase order or sole source award process with prequalified vendors
  • Prepare purchase orders and requisitions in accordance with the directions received by your organization’s procurement department, securing appropriate sign-offs and entering the information into your existing procurement system, provided that our Gilbane TPM team can be granted access
  • Facilitate site visits, as required, by vendors for major equipment, coordinating with the Gilbane construction management team, as required
  • Ensure purchase orders and requisitions contain specific terms and conditions related to delivery, equipment transport, staging and installation, debris removal, building protection, personal protective equipment and Gilbane construction safety training, where appropriate
  • Include protocols for receipt/repair or replacement of items received, billing and invoicing in the terms and conditions
  • Populate procurement systems with final acknowledgment information on manufacturing, shipment and delivery dates
  • Coordinate deliveries with a warehousing and logistics vendor 21. Work with a warehousing vendor to track and manage projected shipment and delivery dates for each purchase order, striving for “just-in-time” delivery directly to the new site whenever possible, while preparing contingency plans for off-site warehousing, when necessary
  • Audit the warehousing vendor's tracking system that captures purchase order numbers, vendor and shipping contact information, projected delivery dates, loading dock, receiving and staging plans, and installation instructions
  • Track shipments from release date to receipt, establishing and managing the priorities for training and occupancy whether delivered to project site or receiving from warehouse
  • Coordinate with Biomed and Clinical Engineering to determine the method for asset tagging and inventorying, ensuring the process is integrated into the logistics planning.
  • Manage the on-site installation of building protection, loading dock operations, elevator usage and product receipt, placement, installation, testing and certification, providing CCMC with one, single point of accountability for new and relocating equipment activation
  • Identify vendor and department staging space requirements during building fit-up and work with the hospital project team to schedule, assign and secure staging space.
  • Present a plan and coordinate the use of an on-site dedicated space to receive and stage furniture, fixtures and equipment, supplies or IT device deliveries
  • Track the execution of each activity and coordinate with the responsible hospital representatives to ensure adherence to the activation schedule
  • Provide additional reports, as required, for team members in supporting the execution of work to be completed for wall hung item installation, equipment certification and testing
  • Develop room readiness checklists to identify operations and/or facilities-related issues for resolution prior to clinical areas opening to patients
  • Review and resolve discrepancies in monthly invoicing and billing in relation to the new medical equipment
Qualifications:

EXPERIENCE/EDUCATION

  • Bachelors degree in Biomedical Engineering, Medical Devices, or any Engineering field related to Medical Technology & Devices
  • 3+ years of experience in medical equipment planning for hospitals working directly with architects and clinical users to prepare an original medical equipment list for a renovation or new construction project
  • Needs to demonstrate the proficiency and capability of independently preparing an initial medical equipment list based on conversations with architect, clinicians, biomed representatives and a walk-through of existing space.
  • Design, procurement, space planning, and installation experience related to a wide variety of medical equipment commodities
  • Or equivalent combination of education and experience
  • Experience using Attainia is preferred


KNOWLEDGE, SKILLS & ABILITIES

  • Solid understanding of medical operations/practices
  • Ability to translate healthcare requirements into planning and design documents
  • Knowledge of the specifications and installation requirements of various medical equipment and how they interface with other systems/disciplines
  • Familiarity with Auto CAD and Revit CAD drawings
  • Travel required: Up to 50%
