POSITION SUMMARY


The Medical Office Assistant supports the daily operations of the medical office by participating in and performing various tasks. The Medical Office Assistant works in collaboration with most departments, including but not limited to clinical back office, front office, pharmacy, inventory management, etc.


PRIMARY ACCOUNTABILITIES

  • Processes all mail received and distributes appropriately at the main clinic site (DHC)
  • Meters the mail for the Extended Services Building (ESB) and Administrative Services Center (ASC)
  • Performs courier services between all sites for transporting mail and interoffice paperwork. Distributes interoffice envelopes for all sites.
  • Monitors incoming faxes and distribute faxes to the appropriate fax folders
  • Monitors and checks routing bins for outgoing faxes, medical records, letters, patient pick up items, etc.
  • Performs autoclaving of instruments and autoclave maintenance at the main site (DHC).
  • Provides back up for referral coordinator when needed
  • Monitors Point of Care Testing (POCT) supply inventory and orders to replenish as needed at all sites
  • Replenishes stock from Central Supply in accordance with Kan Ban card requests.
  • Provides back up for Stericycle waste process
  • Monitors vaccine fridge temperatures at all sites
  • Replenishes UA supplies in restrooms at all sites
  • Oversees the sterilization of medical supplies by the dental crew at the Extended Services Building (ESB).
  • Assembles OB folders
  • Provides back up for medical records faxing when needed
  • Replenishes vaccine information sheets on the GEMBA and in the Residency clinical area.
  • Performs other duties and tasks as assigned

POSITION REQUIREMENTS

Education

  • High school diploma or equivalent.


Qualifications and Key Skills

  • Possess current, valid WA State driver’s license
  • Access to reliable vehicle daily with liability insurance coverage
  • Demonstrated success with clear thinking and ability to reorganize as needed.
  • Demonstrated success in working independently, prioritization and problem solving.
  • Demonstrated success in organization abilities.
  • Demonstrated success in computer skills including the ability to use computer for electronic health records and reasonable keyboard skills.
  • Demonstrated success in customer service/patient services or working with the public.
  • Knowledgeable in basic medical terminology
  • Demonstrated success in attention to detail.
  • Uphold the mission, values, and principles of the organization
  • Create and maintain a positive culture.


Physical/Environmental

  • Normal accessibility and mobility throughout the region required.
  • Normal overtime/extended work hours.
