Position: Medical Receptionist

This position description has been designed to indicate the general nature and level of work performed by employees within this classification. The Medical Assistant will operate under the direction of the Office Manager.

Position Summary

Medical Assistants perform routine administrative and clinical tasks to keep the offices of physicians and other health practitioners running smoothly. The duties of Medical Assistants vary from setting to setting, depending on the size, location, and type. In addition to administrative responsibilities, Medical Assistants perform clinical duties in accordance with state law.

Typical responsibilities of the Medical Assistants will include (but are not limited to):

Administrative:

· Front desk reception, which includes answering phones and scheduling weekly appointments for medical/clinical.

· Provide follow-up calls of medical/clinical appointments to determine treatment needs of families are being met.

· Inform families of the no-show policy, cancellation policy, reschedule policy, etc.

· Greets patients, completion of orientation/consent/legal forms.

· Scan and upload all medical/clinical documentation in the electronic medical record system.

· Ensure codes are correct on all medical documentation.

· Scan and upload medical/clinical documents and submit them to the appropriate entity.

· Input initial authorizations on clinical/medical clients.

· Complete medical record request and prescription refill request daily.

· Calls in prescriptions to the pharmacy for prior authorization in coordination with a psychiatrist or medical doctor.

· Check fax/email for referral, CMO authorizations, and Referral, and forward to appropriate individuals as well as scan and upload in an electronic medical record system.

· Schedule all medical/clinical appointments with clients weekly and conduct reminder appointment calls.

· Follows appropriate legal and ethical professional conduct

· Submit reports to supervisor weekly.

  • Will conduct Chart Audits on all active and discharged clients utilizing the agency audit tool.
  • Receive referrals of clients in need of mental health services and verify insurance eligibility.
  • Input initial assessments/treatment plan goals in Sharenote.
  • Participates in various management staff meetings and engages in inter-office communications with other departments.
  • Complete insurance status checks on all clients scheduled for medical appointments weekly. Based on the status of insurance will follow agency protocol.
  • Assist with transitioning to a paperless system by scanning all active clients’ charts into Sharenote.
  • Communicate with immediate supervisor any concerns/needs of department and brainstorm solutions.
  • Tracking and inputting Care Management Organization authorizations in the agency Electronic Medical Record system.
  • Respond and assist with referral sources requests.
  • Collect, scan, and submit medical/clinical documents to appropriate parties daily.
  • Input and assign Clients an electronic medical record system
  • Filing and storing of records in an offsite storage facility.
  • Other duties assigned.

Clinical:

· Measures and records vital signs

· Records patient interview, history, and chief complaint

· Provides patient education with regards to medications, management of diseased, home treatments, and special diets

· Prepares patients for examinations and performs routine screening tests

· Assists physician/nurses with exams

· Uses CPR skills when necessary

· Maintains supplies, equipment, stocks, and instruments

· Practices OSHA safety standards

· Performs accurate, legal, and ethical documentation always

· Performs other position-related duties as assigned

Other Responsibilities

· Follows facility and OSHA safety rules and procedures while on assignment

· Follows facility and ATC Unusual Occurrence Protocol

· Respects cultural and religious practices of patients

· Upholds HIPAA regulations

· Punctual and dependent on assigned/confirmed shifts

Position Requirements

· High school graduates preferred

· One (1) year of Medical Assistant experience in a corresponding setting is preferred

· Clear background check and drug screen

· Eighteen (18) years or older

· Federal-, State- and agency-required credentials are current and on file

· Able to read and write consistent with job requirements; cognitive skills as related to the position

· Proficient interpersonal relations and communicative skills

Job Types: Part-time, Contract

Pay: $10.00 - $15.00 per hour

Schedule:

  • 8 hour shift
  • Day shift
