Scheduling Specialist Job Description
This position reports to: Operations Supervisor and MVP Executive Director
These people report to this position: N/A
Internally, this position teams with: Case Managers and Providers
Externally, this position interacts with: MVP patients/caregivers
Job Purpose
The Scheduling Specialist is responsible for the efficient and effective management of MVP providers’ daily routes and schedules.
Overview
General Duties
· Scheduling patients for home-based primary care appointments via telemedicine and in-person encounters
Tasks and Responsibilities
· Scheduling efficient patients for home-based primary care appointments by utilizing routing software, EHR scheduling system, and patient population management documents
o Multi-tasking and managing all tools at the disposal of the employee to ensure that schedules are optimal, efficient, and effective
· Keeping accurate records for multiple logs where patient information is stored and managed
· Remaining HIPAA compliant
· Ensuring timely Call to Action for all New Patients onboarding to the practice
· Maintaining open communication with both Providers and Patient Care Coordinators
· Ensuring timely turn-around for scheduling of Urgent Visits, inclusive of utilizing decision making skills to determine if telemedicine is appropriate and necessary
Pay, Benefits and Expectations
· The position is full-time at an hourly rate with the expectation that the applicant is available Monday-Friday from approximately 8:00am– 4:00pm
o 30-minute lunch period
· Starting pay for the position is $17.00/hr
· Benefits available after probationary 90-day period from date of hire:
o Optional Dental, Vision and Medical Coverage and Life Insurance Policy
o PTO accrual and use with 2-week notice provided for requests off
o Performance review at 90 days and annually thereafter
Qualifications
Education
· Associates or Bachelors Degree preferred, but not required
· Additional healthcare education would be considered as benefit, but not required
· At least 1 year of experience in a medical office preferred
· At least 1 year of administrative experience is required
· At least 1 year of customer service experience preferred
Knowledge, Skills and Characteristics
· Must be well-organized, open-minded, and flexible
· He/she must be able to communicate well with others, work as a team, and lead others by example and direction
· Excellent written and oral skills are necessary and applicant must have professional phone and in-person etiquette
· Strong computer skills and EHR experience required
· Ability to multi-task and remain organized and positive throughout is a requirement
· Applicant must be customer service focused and have a strong attention to detail and positive, upbeat personality
· Comfort and experience with Microsoft Office
· Applicant must be dependable and accountable for actions and responsibilities
