The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.


This position will be in support of the Public-Private Partnerships/Strategic Initiatives Department.

Responsibilities:

HJF is seeking a Meetings Coordinator to work under the direction of the Director of Public-Private Partnerships on assisting with HJF's event management services in the HJF Conference Facility, to include internal and external customers. Position will collaborate with other departments as necessary to bolster HJF's event management services and assist with online reservation system, master calendar and administrative meeting responsibilities as necessary.


Responsibilities

  • Assist with the execution of all meetings in the HJF Conference Facility.
  • Coordinate all administrative meeting responsibilities associated with meetings management and potential grant solicitation.
  • Assist with the necessary documentation to facilitate successful events (e.g., budgets, timelines, agendas, attendee lists, briefing books, Requests for Proposals, proposals, reporting requirements, etc.).
    Assist with other public-private initiatives in furtherance of HJF's mission.
  • Cross train with within the Meetings Team as appropriate.
  • May include budgetary responsibility to include plan/forecast and monitor.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.


Required Knowledge, Skills and Abilities

  • Success in executing timelines & meeting deadlines.
  • Proven history with multi-tasking.
  • Strong communication skills (written & oral).
  • Experience in funds solicitation & event planning.
  • Excellent customer service skills.
  • Meeting experience.


Physical Capabilities

  • Ability to stand or sit at a computer for prolonged periods.
Qualifications:

Work Environment

  • This position will take place primarily in an office setting.


Education and Experience

  • Bachelor's Degree.
  • Minimum of 3-5 years experience required.
