Job Summary
This position provides high-level administrative support for the Department of Integrated Engineering, home of Iron Range Engineering and Twin Cities Engineering, which have external educational partnerships and financial relationships with Minnesota North College and metro-area community colleges. Support includes 1) managing and facilitating complex budget operations, departmental contracts, and hiring processes, 2) leading interaction with Registration and Academic Records, 3) leading department office management, and 4) coordinating internal and external departmental communications. Since both the Iron Range Engineering and Twin Cities Engineering program models deviate from the standard program models on campus due to their leading edge program designs, it is essential for this position to nimbly research and implement new and innovative processes to ensure the administrative functioning of the unit within the Minnesota State University, Mankato system.
Qualifications
Minimum Qualifications
Development of administrative and programmatic procedures: Ability to analyze and make recommendations to management for new or revised administrative and program practices and procedures for smooth and efficient office operation. Develop, modify, and evaluate/improve administrative and program procedures.
Accounting/budgeting/expense : Knowledge of generally accepted accounting principles and practices sufficient to analyze, interpret, and prepare financial information, records and reports; locate errors, and recommend solutions to procedural and other fiscal problems.
Knowledge of written and spoken English, including the meaning and spelling of words, rules of composition, and grammar sufficient to communicate effectively with internal and external customers and to explain the reasons for transactions and procedures, rules, and regulations so others understand the information they are being given.
Customer Service: Ability to use customer services skills on the phone, in person and online to provide effective general and specialized office support (this require common courtesy, tact, interest in positive problem solving, empathy and the ability to organize ideas logically.) Convey complicated information in an understandable manner as an expert resource for outside agencies and individuals (both internal and external).
Word Processing and Spreadsheets: Ability to use word processing, spreadsheets and other software applications to prepare, reports, letters, etc. Ability to check completed work for spelling, grammar, punctuation, accuracy and format.
Lead work skills: Skill in using lead work skills to set work priorities, arrange student worker coverage to meet workload needs, initiate new work assignments, and resolve work-related issues.

Experience with university systems relating to budgets, course management, faculty workloads, and academic records.
Bachelor's degree completed.
Organizational and coordinating skills: demonstrated ability of organizational and coordinating skills to manage multiple projects delivering results and meeting deadlines, while still staying focused on frequent interruptions and other tasks requiring immediate action, along with interaction with a wide variety of people and personalities.
Knowledge of desktop publishing sufficient to recommend and produce final publication design and layouts and use software such as Adobe Acrobat to edit and create documents.
Initiative: Demonstrated ability to work independently and take the initiative to do a job without regular help and advice from others.
Demonstrated ability to exercise initiative, sound judgement, flexibility, and effectiveness in solving problems.
Additional Requirements
Work safely at all times, which includes but is not limited to, participating in and completing all required safety trainings, as well as performing all job tasks in accordance with Minnesota State University, Mankato policies and procedures utilizing appropriate tools, equipment and personal protective equipment.
