The Position
This is an exciting opportunity to help a local franchise owner launch their business. The Office Administrator position is without question a key role in the success of our business. It’s a challenging and rewarding position with good pay and set hours. If you are a person that is able to help people, organize and execute systems, and keep track of the details, then this role may be just right for you. As the administrative leader of a Floor Coverings International office, you will be the “voice” of the company as your voice will often be the first voice that customers, suppliers, and installation partners hear. You’ll be setting appointments, managing schedules, ordering materials, coordinating installations, supporting the team, and performing other critical administrative functions.

- Promptly and properly schedule all leads to appointments for Design Associates (DAs)
- Follow up on open proposals as needed to ensure prompt closure
- Coordinate and confirm installations with customers and installation subcontractors
- Support and participate in home shows with an objective of setting appointments (in-home consultations) for the DAs
- Support local marketing efforts as requested by owner
- Keep show room and office organized and presentable
- Assist in development, management & delivery of local marketing tactics
- Resolve or escalate customer conflicts
- Accurately update QuickBooks daily for all income and expenses as requested by owner
- Complete job costing reports within 24 hours of completing installations
- Track, prepare and manage timely payment of business related expenses with suppliers and vendors
- Meet with sales staff weekly to discuss recent sales and review customer expectations and product orders.
- Accurately order all product needed for jobs and ensure received materials match orders
- Coordinate the scheduling of jobs with customer and installers
- Communicate with installers and customers on start dates and times (initial and reminders)
- Update customers with ongoing details of installation and job progress.
- Discuss and obtain written permission for any changes in contracted work as directed by business owner and/or DAs.
- Confirm scope of work and compensation with installers prior to commencing installation work
- Update InspireNet daily with status of jobs and upcoming schedule.
- Attend weekly meeting with Franchise Owner at scheduled time.
- Distribute goalsetting and review form weekly via email.
- Collaborate openly regarding opportunities to improve processes, or mitigate risk in achieving business objectives
- Be available to attend training seminars at owner’s discretion.
- Make decisions and act in accordance with Floor Coverings Internationals core values and mission.
- Strong communication skills and pleasant demeanor, particularly over the phone.
- Organized, detail oriented, and able to multi-task.
- Experience in bookkeeping using QuickBooks is a plus, though not required
- Able to work independently with minimal supervision.
