Job Description for Shared Administrator

Lackawanna and Lehigh Presbyteries

Organizational relationships:

Reports to Shared Transitional Presbytery Leader

Duties and Responsibilities:

The Administrative Assistant assists the Shared Transitional Presbytery Leader and coordinates with Stated Clerks and leadership teams of both Presbyteries in the administration of Presbytery responsibilities.

Responsibilities include:

Communication

  • Check phone messages and email, respond with requested information or relay messages/requests as needed
  • Review & distribute incoming mail
  • Maintain and update websites and social media
  • Manage publication of mass communications
  • Maintain the online Presbytery Calendars
  • Maintain Presbytery Directories/Databases
  • Create official documents and letters as required by Transitional Presbytery Leader, Stated Clerks or leadership teams

Financial

  • Distribute Annual Letter & forms to churches for Mission pledges & per capita covenants and record those received on spreadsheet
  • Work with Synod of the Trinity Bookkeeper to:
  • Assign account #’s and place copies of deposits and vouchers in Dropbox.
  • Assign account numbers and email copies of bills and vouchers to (Shared?) Treasurer for approval, as well as putting them in Dropbox.
  • Process bi-annual payment of Mission and Per Capita to the Synod and PC(USA)
  • Email monthly financial reports to Treasurers & Finance Committees and save reports to appropriate Dropbox folders
  • Process bank deposits – make electronic deposits of checks, provide reports to Bookkeeper and appropriate Presbytery files

Meeting Prep

  • Work with Shared Transitional Presbytery Leader, Stated Clerks, and moderators to prepare documents needed for Presbytery meetings
  • Provide oversight of Presbytery Assembly registration/attendance; attend Assemblies

Files

  • Track and renew all requisite licenses, permits, and subscriptions
  • Maintain current digital files for Shared Transitional Presbytery Leader, Stated Clerks, select committees, churches, and clergy
  • Maintain employment records for both Presbyteries

Other

  • Track mission grants applied for, received, approved, rejected, and completed
  • Resource Transitional Shared Presbytery Leader, Stated Clerks, and Committees in support of congregations and clergy

Other duties as required

Work Assignments:

Regular assignments to be determined by Shared Presbytery Leader in conjunction with personnel committees

Occasional tasks to be determined by the Shared Presbytery Leader

Knowledge/Skills/Abilities:

  • Knowledge and understanding of the structure and communication processes of the PC(USA) or the ability to develop this understanding quickly
  • Appreciation for the importance of church systems and procedures
  • Ability to maintain confidentiality
  • Self-starter
  • Effective communication and interpersonal skills
  • Basic business writing skills (including spelling, grammar, punctuation)
  • Effective organizational skills
  • Ability to handle complex situations and perform duties of the position effectively
  • Ability to handle multiple tasks and deadlines
  • Computer knowledge, particularly email, Word, Excel, PowerPoint, Dream Host and Word Press, Zoom, and publishing software
  • Ability to do simple layout and some graphic art

Physical Demands:

Occasional lifting not to exceed 25 pounds

Occasional in-person meetings may be necessary

Compensation:

Full-time exempt position with competitive pay and benefits; to be performed remotely with equipment provided by the Presbyteries

Job Type: Full-time

Pay: $41,000.00 - $45,000.00 per year
