Central Washington University is recruiting a part-time Office Assistant 3 to join our Physics team in Ellensburg, Washington. The Role:

Northwest Earth and Space Sciences Pathways (NESSP), a NASA-funded, K-12 education effort, is seeking an Office Assistant 3 to help the Director and Program Manager support on-going NESSP projects and programs. NESSP goals are to increase the exposure, competence, and ambition of underserved and underrepresented students in STEM by working with over a dozen partner organizations to support thousands of students and educators through STEM challenges, professional development workshops, outreach, and enrichment activities. NESSP programs are based on NASA mission science and engineering and involve frequent opportunities to interact with NASA content experts.

The Office Assistant supports the purchasing, inventory, and shipment of loaned educational supplies. They will also support the Program Manager with travel, event coordination and planning for participants and will assist the NESSP director with meeting and communications support.

Job Duties


Supply Inventory, Receiving, and Shipping
  • Maintain an inventory of NESSP educational supplies
  • Receive shipments and organize invoices/receipts
  • Monitor student staff in preparing outgoing shipments of educational supplies
  • Prepare shipment return forms for educators returning supplies
  • Maintain a record of loaned educational material; maintain file system(s)
  • Download and process event registrations to determine and anticipate supply and shipping needs

Purchasing and Budget Reconciliation
  • Purchase educational and office supplies
  • Manage and reconcile departmental procurement card
  • Investigate and correct errors to ensure compliance with established procedures and policies
  • Assist in monitoring of spending in various budget categories

Event and Enrichment Activity Support
  • Assist Program Manager in the coordination of NESSP enrichment activities including hiring student staff, working with conference program, reserving rooms, organizing travel, and problem solving
  • Assist Program Manager in the coordination of NESSP partner meeting and professional development workshops including scheduling, organizing lodging and catering, reserving meeting space, and communicating with participants to arrange travel
  • Travel and attend events to provide in-person support to participants and NESSP Director and Program Manager as needed

Travel, Stipends, and Expense Reports
  • Prepare and process travel authorizations and expense reports for participant travel, Director, Program Manager, and Student Staff
  • Assist in the purchasing of airline and lodging for participant travel
  • Process educator stipend and clock-hour requests

Communications and Proofreading
  • Provide first line of communication for NESSP phone calls, voicemails, and general email inbox; respond to inquiries regarding rules, regulations, policies, department procedures, and department services
  • Help maintain mailing list

Meeting Support
  • Assist Director in the scheduling of partner and participant meetings
  • Attend meetings when appropriate to assist with virtual meeting delivery and note taking
  • Perform other duties as assigned

Minimum Qualifications

  • Demonstrated ability to use Word, Excel, email and/or similar software applications to produce professional written correspondence, create and maintain spreadsheets, and receive and respond to email inquiries
  • Current Washington Driver’s License
  • Evidence of strong written and oral skills
  • Ability to be organized and to work independently to complete multiple work assignments and to meet deadlines
  • Demonstrated commitment to inclusion and experience and/or willingness to serve the diverse needs of students and/or co-workers from a wide range of abilities, backgrounds and experiences
  • OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position

Preferred Qualifications

  • Experience working in higher education and/or K-12 education
  • Experience working with a diverse student staff
  • An interest in K-12 STEM education and NASA related content
  • Demonstrated commitment to improving access to higher education for students through various activities
  • Life experiences that demonstrate an ability to contribute to CWU’s commitment to inclusion and diversity
  • Fluency in Spanish

Pay, Benefits, & Work Schedule


Salary: $1,413.50 /month with periodic increases up to $1,825 /month

Schedule/Appointment: Flexible - Possibility of hybrid options / 20 hours a week / PSE Bargaining Unit 4 / This grant funded position is funded through the December 31, 2025. Continuation of this position past 12/31/2025 is contingent upon renewed funding being obtained.

Working Conditions
: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform computer-related tasks and create/maintain program records. Some evening or weekend work and/or occasional travel may be required to support NESSP events. Move packages weighing up to 30 lbs. Complete prolonged physical work including use of carts, moving/organizing educational material, and moving boxes between buildings. Transport supplies, etc.
