The Office Assistant performs diversified secretarial, clerical and secondary administrative duties and responsibilities. We are seeking a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and other departments by taking care of normal office duties, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace.
To be successful as an Office Assistant, candidates should be professional, flexible, polite, and have strong attention to detail. This is a team player position. You should be comfortable with computers, general office tasks, and excel at both verbal and written communication.
Examples of Work
- Answer the phone, take messages, screen phone calls and route callers to the appropriate party.· Handle office tasks, such as filing, generating reports, data entry and ordering supplies.· Make travel arrangements, such as booking flights, cars, and making hotel reservations.· Sorts and routes incoming mail· Assist Accounting with processing accounts payables and receivables.· Assist Payroll and Benefits with processing and verifying payroll.· Anticipate the needs of others in order to ensure their seamless and positive experience.· Collects and compiles information/data for special projects; works with management or assigned department to see projects to completion.
- High School Diploma· Prior administrative experience.· Excellent computer skills, especially typing and data entry.· Attention to detail.· Must be flexible and adaptable to daily changes.· Desire to be proactive and create a positive experience for others.
- Proactive communication skills, including verbal and written, and active listening.· Strong follow through and an ability to see projects through to the end. · Excellent project management skills; ability to assist with a variety of projects.· Ability to prioritize, meet deadlines, and multitask.· Must be committed to the organization’s core values and demonstrate them regularly in their work.
