The Office Assistant acts as receptionist and general secretarial assistant, answering calls and greeting visitors and providing clerical/administrative assistance as needed.
Essential Duties & Responsibilities - Within the philosophy, objectives and policies of Capital Caring Health, carries out the following essential functions:
Quality Provision of Services:
1. Keeps the reception area and desk tidy to project an attractive and welcoming environment. Turns off coffeepots and keeps kitchen tidy.
2. Maintains staff sign in/out board and adds or deletes names promptly as staff changes; creates new mailboxes as needed.
3. Monitors patient admission supplies; assembles and maintains adequate supply of Admission/Liaison packets; orders additional supplies as needed or requested.
4. Assists with Medical Records as requested.
5. Routinely checks fax machine and distributes faxes to recipients. Stocks fax machine with paper.
6. Distributes paychecks.
7. Performs a variety of secretarial tasks as needed or requested to support the smooth operation of the office location.
Organization/Regulatory Compliance:
1. Runs reports as requested.
2. Prepares for Team, prints medication profiles and IDT forms.
3. Participates in chart audits and CQI.
People/Communications:
1. Answers phone within 3 rings; takes and relays messages courteously and promptly and within Hospice Telephone Policies; pages clinical staff as needed to facilitate urgent communication.
2. Forwards phone at night; takes phones off in the morning and transcribes messages by 8:35 a.m.
3. Greets and assists visitors, giving directions or calling appropriate staff members, so that families/visitors under stress are responded to in a caring, efficient manner
4. Maintains mail and phone messages; sorts and forwards all mail appropriately.
5. Trains volunteers and employees for Office Assistant duties when necessary.
Financial Stewardship:
1. Achieves expected productivity standard as defined by the organization and in alignment with best practices/the Capital Caring Health model.
2. Monitors supply of postage.
3. Forwards all donations to Merrifield administrative office as directed.
4. Performs weekly inventory and orders office and kitchen supplies; verifies accuracy of deliveries; distributes delivered materials within same day; maintains file of open and filled orders; follows up with appropriate source as needed.
5. Monitors medical marketing supplies; assembles and maintains adequate supply of M.D. and In-Service packets to facilitate quick response to community/staff needs; orders additional marketing supplies as needed or requested.
