We are looking for an Office Director to join our Administration Department in our DC Metro office. As an Office Director, you will be responsible for providing excellent client service. Responsibilities:

Billing Oversight and Management

  • Manage monthly billing alongside the Office Managing Partner (OMP), to ensure the office(s) billing targets are achieved as presented in the annual projections prepared by the respective partner in your office.
  • Prepare for OMP review, monthly billing projections by partner for final approval
  • Work with OMP to contact responsible biller(s) and/or partner(s) to ensure all aging WIP is appropriately captured in the billing period and written off as needed accordingly.

Collections and Accounts Receivable

  • Manage office related collections by coordinating with the firm accounts receivable dept to 1) contact clients as needed, 2) review open balances, 3) accurately apply payments to the correct business entities.
  • Follow up with the responsible partner(s) and/or client(s), on A/R balances greater than 90 days outstanding.

Budget to Actual Expenditures

  • Manage office related budgets for charitable contributions, sponsorships, office events (i.e., team building events and holiday parties)
  • Coordinate with firm leadership to monitor and track budget vs. actual expenditures for the office on a monthly basis.
  • Manage vendor contracts and negotiate favorable terms when necessary to recognize cost savings to the firm.

Office Reporting

  • Lead initiative with firm operations to prepare monthly reporting package and review of KPIs alongside the OMP to establish and understand trends in the respective office(s) managed.

Manage office related matters that include but are not limited to:

  • Culture and People – Continue to effectuate, strengthen, and embody the CC culture and passion for creating a positive work environment for our people.
  • Facilities – Oversee and manage lease re-negotiation, capital improvements and location analysis based on the firm’s go to market strategy.
  • New Hire Onboarding – Manage alongside HR, the new hire onboarding experience to assimilate our people efficiently into their new teams.
  • Team development and training – Manage office compliance with firmwide training and development of client facing and non-client facing professionals.
  • Time Entry – compliance with firmwide time entry compliance and policy to capture hours worked timely and accurately.
  • Best Practices and Procedures – Guide, communicate and encourage our people to follow CC’s policy and procedures within the office to recognize efficiencies and effectiveness in execution of tasks which impact office and firmwide operations.
  • Ad hoc projects, requests, etc.

Qualifications:

  • Minimum of 8-10 years of administrative, accounting, and collections experience, preferably in a professional services environment.
  • Experience with managing a team and direct reports.
  • High School diploma or equivalent; completed coursework from an accredited college/university is highly preferred
  • Ability to proactively troubleshoot problems, ask questions for clarification and understand when to escalate with minimal oversight
  • Requires excellent interpersonal and communication skills
  • High attention to detail
  • Proficiency in Microsoft Office Suite applications, web-based research skills and ability to learn firm-wide applications and technology packages
  • Able to prioritize competing requirements and/or deadlines
  • Team player with a positive and optimistic attitude
  • Capacity to work overtime, as needed
  • Experience with multi-office dynamic
