Saylor Consulting Group is seeking a full-time Office Engineer for San Francisco Bay Area Rapid Transit (BART) infrastructure work supporting the upgrade of fire suppression/fire sprinkler systems at various BART transit stations. The work shall include the replacement of fire sprinkler heads and associated systems. The ability to work in-person at BART's Oakland office and willingness to work long hours, weekends, holidays, and night shifts required.

Daily Duties

  • Provides procedural, administrative support to Resident Engineer and Project Staff;
  • Reserves/schedules conference rooms and attends weekly progress status meetings with the Contractor;
  • Supports the preparation of progress meeting agendas and minutes;
  • Receives documents from the Contractor and processes incoming/outgoing correspondences, transmittals, submittals, RFIs, changes, etc.;
  • Keeps Submittal and RFI Logs updated;
  • Tracks status of documents (submittals, RFIs, changes, etc.) to ensure timely response and keeps Resident Engineer informed of status;
  • Uploads the signed Inspector Daily Reports (IDRs) in the WongCMS database or another approved District software;
  • Assists Inspectors with files and database system information, when needed;
  • Assists Project Manager and Resident Engineer with Change Notices and Change Orders;
  • Assists in the review of Contractor's cost proposals and processing of invoices;
  • Evaluates, processes and routes Contractor's monthly invoices for approval;
  • Reviews and submits Pay Apps;
  • Tracks Contractor's invoices to ensure timely payment;
  • Updates WongCMS (correspondence, transmittals, RFI Log, Submittal Log, etc.);
  • Maintains records of paper files and hardcopies of contract documents;
  • Processes requests for Contractor's badges and clearances and assists with on-boarding of new staff;
  • Performs other tasks as directed by the Program Manager/Resident Engineer and/or the District.
  • Tracks RFIs, responses and metrics;
  • Tracks Project submittals, responses and, if necessary, reviews the submittals;
  • Processes and/or assists in the making and processing of Track Allocation Requests, and attends at meetings;
  • Manages and monitors Document control and provides editorial support;
  • Perform the duties and responsibilities of a BART EIC, if requested;

Minimum Qualifications

  • 1-3+ years' experience performing Office Engineering work for large capital construction projects.
  • Registration as an Engineer-in-Training (EIT) in California.
  • Experience with Labor Compliance and verification of Certified Payrolls
  • Bachelor's Degree in architecture, engineering, construction management, planning, architecture, or similar degree.
  • Advanced analytics and data manipulation skills in MS Excel.
  • Demonstrated success working in a fast-paced, project-centric environment.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Ability to learn organization's software, programs, and processes in a timely manner.
  • Ability to work independently and complete daily activities according to work schedule.
  • Ability to understand, follow and transmit written and verbal instructions.
