At ProSpectra, a Diverzify company, we believe our associates are at the heart of our organization. We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. You will be responsible for scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing administrative support and leadership for our employees.

Here's what we are looking for…

  • Schedule meetings and appointments and provide general support to visitors
  • Organize the office layout and order stationery and equipment and maintain the office condition and arrange necessary repairs
  • Serve as the HR contact for the business unit, including onboarding, timekeeping, leave of absence and general policy questions
  • Train project coordinators, account coordinators and other administrative staff on internal sales and project management systems and processes (includes traveling to different offices)
  • Coordinate with IT department on all office equipment.
  • Manage contract and price negotiations with office vendors, service providers and office lease.
  • Manage inventory including cycle counts and truckload orders.
  • Address employees’ queries regarding office management issues (e.g., stationery, Hardware office supplies and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Partner with the safety team to lead safety meetings and initiatives, manage safety documents and communicate with local teams about safety expectations.
  • Lead a team of administrative professionals who support our sales and operations team.
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Other duties as assigned.

And you would have the following…

  • High School degree required (Bachelor in Business Administration preferred)
  • 2 – 3 years of proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular, familiarity with email scheduling tools, like Email Scheduler and Boomerang)
  • Hands-on experience with office machines (e.g. fax machines and printers)
  • Must be willing to travel up to 10%

This position is expected to pay $57,000 to $75,000 yearly. Salary will be commensurate with the final candidate’s qualification and experience, including skills, knowledge, relevant education, certifications, as well as aligned with the internal peer group. It is not typical for an individual to be offered a salary at or near the top of the full range for a position.
