Job Function:

GSV Support Staff performs clerical and administrative work of a confidential nature under the direction of the GSV Director in accordance with established policies and procedures. Will assist program staff within the GSV Program to provide financial support for the services related to the individuals served. Will work in accordance with and upholding the goals and mission of Catholic Charities North Dakota.

Job Duties and Responsibilities:

  • Responsibility for entry in the QuickBooks financial application for the GSV Program to mitigate risk to CCND financial responsibilities.
  • Complete financial transaction (i.e. write checks and deposits) and reconcile monthly bank statements for GSV representative payee accounts.
  • Correspond with social security, financial institutions, billing agencies, etc. necessary to complete financial requirements of the GSV program.
  • Type letters, records, memos, reports, etc. from written or dictated material using a computer and dictation equipment
  • Set up new case files and send out GSV notification letters to clients, family, and providers.
  • Assist the GSV Director in the completion of meeting arrangements, agendas, and meeting notes/minutes for the staff meetings and other meetings as assigned.
  • E-file court reports on a monthly basis for GSV program.
  • Enter information and ongoing case notes regarding each individual served into the Agency’s information management system relating to assigned work (ETO).
  • File, maintain and retrieve information from computer or files as needed.
  • Maintain GSV electronic files by scanning documents for archives of case records.
  • Maintain records required by program, including fees received, program records, ETO records, reconciliations, etc.
  • Compile and maintain program reports as assigned, (i.e. staff splits, admit/discharge wait list and ETO reports.
  • Assist with various mailing/financial lists within the program.
  • Competent in the use of office equipment, such as computer, and dictating machine, scanner, fax machine and copier as needed.
  • Scan and Electronically file daily mail
  • Mailing requested materials to program staff.
  • Proofreading/formatting/editing document.
  • Provide training for computer and software applications as needed.
  • Substitute for CCND receptionist as needed.
  • Participate actively in the Agency's Performance Quality Improvement Process.
  • Respond appropriately to the cultural differences present within the Agency's service population and staff.
  • Relate well and partner with clients and families, community agencies, organizations and associations.
  • Demonstrate values compatible with Agency's.
  • Perform other duties as assigned by GSV Director.

Mandatory Qualifications/Certification:

  • Applicant will have a 2 years degree from a Business College plus experience or 4 year degree in a business related field.
  • Able to type 60 wpm and ability to operate office equipment.

5. Willingness to learn new skills and new directions of the GSV Program and CCND.

6. Limited travel required.

7. Excellent customer service and communications skills with internal and external customers.

8. Must have a valid Driver's License.
