Department Summary
The Osher Lifelong Learning Institute (OLLI) at California State University, San Bernardino was created at the Palm Desert Campus in 2003. Our OLLI program provides intellectually stimulating programming for the large and growing 50+ population in the Coachella Valley, both full-time residents and seasonal visitors.
The wide variety of courses in the arts and humanities, natural sciences and social sciences offer many options for members to expand their interests and keep their minds sharp. Courses are taught by current or retired university professors, or accomplished professionals with significant expertise in their field.
Job Summary
Provide administrative support to the OLLI Director in classroom preparation, support, member communication and outreach, website monitoring and maintenance. Provide clerical support by way of preparing and processing forms such as instructor payments, director reimbursements, basic filing and collection of data. Answering OLLI phone line, calendaring events, space reservations.
Responsibilities include but are not limited to:
- Exceptional customer service is a top priority. Assist with member relations via walk-in, phone and mail. Process membership and course registrations using the online registration system. Assist with distribution of member parking permits. Prepare cash payments for deposit. Process refunds and credits as directed. Process and verify course vouchers. Run class rosters. Take, type, and distribute minutes as required for committee meetings. Maintain and update member records, including contact information. Maintain prospective member list. Reconcile the budget, refund requests, cash management, petty cash and daily deposits. Cross training and back up to the support coordinator. Assistant to the administrator.
- Coordinate instructor technology training. Provide general technology and classroom support for instructors and volunteers.
- Coordinate classroom scheduling with campus counterparts. Research options for space optimization and monitor schedule frequently. Communicate changes to avoid classroom scheduling conflicts.
- Collect volunteer paperwork and submit for university processing. Monitor records and volunteer parking permits. Prepare volunteer and course packets.
- Process instructor payroll for payment.
- Process purchase orders and invoice payments. Monitor and order office supplies.
- Support staff events with set-up, general event support, and tear down. Some evening events may be required.
- Perform all other job-related duties as assigned.
Employment Status: Part-time, Non-Exempt, Temporary(19 hours per week).

Key Qualifications
- Experience to be fully functional in all technical aspects of work assignments.
- Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
- Thorough knowledge of English grammar, punctuation, and spelling.
- Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
- Ability to independently handle multiple work unit priorities and projects.
- Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
- Working knowledge of budget policies and procedures.
- Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
- Ability to draft and compose correspondence and standard reports.
- Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
- Working knowledge of and ability to operate standard office equipment and technology including, but not limited to, desktop computer, laptop, copier, scanner, and printer.
- Demonstrated proficiency in ability to effectively use common computer and technology programs and related computer software packages (e.g., Microsoft Office Suite, Zoom, etc.) in the course of assigned duties.
Education and Experience
- High School diploma or its equivalent AND three years of progressively responsible experience in general office clerical or secretarial work or the equivalent.
Preferred Qualifications
- Ability to accurately input data.
- Ability to work effectively and harmoniously with a diverse spectrum of individuals and groups seeking assistance with materials and equipment.
- Ability to work under pressure with frequent interruptions in a high-traffic environment.
- Experience in an educational setting, and experience working with a senior population to assist them in completing standard form and navigating websites.
- Experience in building and managing social media (Facebook, Twitter, Instagram, etc.), and basic web skills in managing content on already established site.
Salary
Anticipated Hiring Range: $1,682 per month based on 19 hours per week.
Classification Hiring Range: $3,276 - $5,148 per month based on full-time/40 hours per week (See conversion above).
