Job Details

Openly is hiring for a full-time Operations Administrative Assistant role. This role will support the growing and diverse needs of the company, specifically the Operations teams of Shared Services, Marketing, and Sales. Due to the variety of responsibilities required in this role, Openly is looking for a candidate that demonstrates high energy, attention to detail, and superior organizational time management. If you exemplify Integrity, Empathy, Teamwork, Curiosity, and Urgency, we want to hear from you! This role will be required to work from our Boston office located at 131 Dartmouth Street.

Key Responsibilities

  • Primary liaison for the corporate office in Boston
  • Manages, organizes and properly routes incoming mail
  • Remote deposits premium payments to the Openly lockbox
  • Updates policies with new mortgagee information
  • Approves all documents through our print and mail partner for mailing
  • Provides support in organizing in-person and off-site meetings including scheduling conference rooms, registering guests and employees when visiting the Boston office, and ordering catering
  • Maintains, schedules, and tracks inventory and delivery of conference and tradeshow booth materials
  • Supports IT with laptop inventory management and delivery of equipment to employees
  • Registers attendees for events and coordinates payments for registrations
  • Performs ad-hoc tasks as necessary

Requirements

  • Ability to commute to our Boston office a minimum of three times per week
  • 1+ years of administrative experience or equivalent
  • Ability to manage confidential information appropriately and professionally
  • Desire to work in a fast-paced, dynamic startup environment and is adaptable in nature
  • Resourcefulness, intellectual curiosity, and a genuine interest in learning new processes and working in a fast-paced startup
  • Strong business acumen, analytical and project management skills
  • Familiarity with Google Suite is a plus
  • Excellent interpersonal communication skills, both verbal and written
  • Incredibly organized with superb attention to detail
  • Ability to successfully support multiple projects and requests while delivering a high degree of service
  • Self-starter mentality with strong time-management skills who can work autonomously
  • Regularly required to lift up to 50 pounds.
