The Operations & Community Programs Coordinator works closely with the Director of Operations & Community Programs to plan and execute the New Jersey Symphony’s statewide touring chamber music program (Community Partners), handling a wide range of administrative and on-site event management duties. This role also involves managing relationships with a wide range of clients.

The ideal candidate will be someone who can seamlessly facilitate the administrative duties of the Community Partners department, bringing a positive, team-oriented attitude and a collaborative spirit as well as a strong desire for making classical music accessible to new and diverse audiences. Currently, all New Jersey Symphony employees work on a hybrid basis splitting work from the office and work from home. There is a required minimum of two days of in-office work per week for this position, and routine on-site evenings and weekends will be required.

DUTIES

Provides administrative and operations support of the Community Partners (CP) program through duties including but not limited to the following:

  • Plan, schedule and manage CP event logistics including preparation of call sheets, maintenance of program calendar, proofing and creating of marketing materials.
  • Serve as the Symphony representative at CP events, including both backstage and front-of-house duties.
  • Maintain calendar and payroll information in OPAS and shared files.
  • Track and manage program statistics, client information and musician-related data for report preparation.
  • Manage and maintain physical and digital library of chamber music: creating, editing, uploading and distributing parts as well as purchasing music.
  • Other duties, as assigned

ESSENTIAL SKILLS

Bachelor’s Degree in Music or Performing Arts Administration or equivalent work experience.

  • Knowledge of live performing arts, specifically classical music, and chamber music repertoire for standard chamber ensembles.
  • Music library experience.
  • Proficiency in standard Microsoft Office applications.
  • High level of organization and the ability to be proactive and multitask, especially in high-stress situations.
  • High level of professionalism and discretion with confidential information.
  • The discipline to work independently, but also the ability to function as a member of a team.
  • OPAS (Orchestra Planning and Administration System), Tessitura, and database experience preferred but not required. Training will be provided.
  • Experience as a freelance instrumentalist at the professional or semi-professional level a plus.
  • Familiarity with basic photo/video capture (smartphone or tablet) and editing a plus.

WORKING CONDITIONS/PHYSICAL DEMANDS:

Some functions of the job will be performed during the evenings and on Saturdays and Sundays, as the Community Partners schedule dictates. Access to an automobile and valid driver’s license is necessary since occasionally venues are not directly accessible through public transportation. The employee must be able to lift up to 20lbs, speak on a microphone, communicate and listen on a headset. The employee will occasionally be standing on uneven surfaces and navigating narrow backstage spaces.

SALARY AND BENEFITS

The New Jersey Symphony offers a competitive salary and benefits package but does not offer relocation stipends. Salary range is $40,000 to $50,000 annually.
