We are seeking an Operations Program Assistant to join the Foundation in its mission of benefitting, supporting, and enhancing the California Community Colleges—the largest and most diverse system of higher education in the nation.

What You’ll Do

The CollegeBuys Operations and Data Assistant reports to the Senior Specialist of CollegeBuys and is responsible for providing administrative and programmatic support to the Foundation’s CollegeBuys Department. The Assistant will perform a variety of standard administrative functions, customer service and support, logistics, and compiling legal and compliance documents in supporting with the department’s coalescing, organizing, and reporting program financials from over 200 unique supplier and college partners. The Assistant is expected to have the ability to learn and comprehend a diverse array of revenue strategies and accurately record and track the data in Excel, Salesforce and prepare related financial reports with a high-level of attention-to-detail and completeness within prescribed deadlines.

What you bring

  • Support internal records repository (district distribution list, vendor contact list, master contracts list) across all platforms such as P:Drive, Google Drive, and Share Point.
  • Supports operational efficiencies not limited to implementing file naming convention , updating the operations procedures documents, and maintaining logs and spreadsheets for all department activities.
  • Assist with continued development in effective records management and identifying opportunities for continued workflow efficiencies.
  • Assists in coordination of conferences, regional forums, and engagement activities that serve to bolster partner and stakeholder interests.
  • Provides administrative functions such as proofreading and formatting documents; organizing, filing and compiling documents; preparing correspondence and mailing; coordinating mail and transportation logistics; maintaining inventory of office supplies; scheduling appointments.
  • Learn and implement revenue tracking mechanisms in a coherent, streamlined manner.
  • Operate day-to-day accounting for quarterly contract reports.
  • Support the Senior Specialist in coordinating with the finance department for billing invoice and follow-up.
  • Provide support with the rebate revenue collection process – leveraging efficiencies in financial applications (fluencies in excel).
  • Support with the aggregation and standardization of corporate partner data for organizational reporting, quarterly KPI’s, stakeholder conversations, corporate partner meetings, and internal trend analysis.
  • Support with auditing partner financial reporting submissions with College financial reports.
  • Transitions program data onto Salesforce Client Relations Management (CRM) system in accordance with departmental framework.

Attributes for Success

  • Proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, etc.), proficiency with Google Suite/Drive.
  • Knowledge of basic principles and practices of business/office operations.
  • Strong knowledge of general use of personal computers, printers, telephones, Internet, and electronic mail.
  • Customer service oriented and team focused.
  • Demonstrate ability to assess customer needs, meet quality standards for services, and evaluate customer satisfaction.
  • Ability to successfully handle complex programs/activities with limited supervision.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to professionally plan, coordinate, and facilitate meetings, conferences, and training sessions.
  • Ability to establish, maintain, and update document and report tracking systems.

  • Knowledge of, or willingness to learn about, the California Community College system and the Foundation’s mission.

Budgeted Hourly Pay Range:

$20 - $21

Final salary and rates are based on education, experience, skills relevant to the role, and internal equity.
