Major/Essential Functions

The Texas Tech University Health Sciences Center Provost and Chief Academic Officer is responsible for creating, implementing, and managing the university’s academic priorities. The Office of the Provost is comprised of Vice Provosts, Associate Provosts, Assistant Provosts, Deans of the schools, and other educational leaders. The Operations Manager will be responsible for providing a wide array and varying levels of administrative support for the Provost and managing the Office of the Provost's overall functions and day-to-day needs. This position will report to the Senior Director of Operations and collaborate on strategy, best practices, and decisions to create efficiencies for the office and provide the Provost with the required resources and support.

Job Functions:
Responsible for daily management of the Office of the Provost while performing complex office support duties to provide executive leadership with the resources and support needed to perform their duties effectively.

Provide support and management for high-level projects and initiatives to include supervision, organizational development, timeline creation and management, critical thinking and advising, creation of materials, and serving on assigned team(s).

Serve as coordinator for Provost’s calendar and other leadership as assigned. Schedule meetings and events as directed and be responsible for planning and executing all support functions for each.

Collect and organize briefing materials for appointments, meetings, and other critical events.

Attend meetings, prepare minutes and ensure follow-up and compliance with action items.

Collect, organize and maintain current records as requested and based on retention policies.

Process purchase orders, requisitions, and payments, ensuring timely and complete processing per finance guidelines.

Prepare pertinent information and communications using multiple platforms to serve diverse audiences

Handle confidential and sensitive information, exercise the appropriate level of discretion, and process per established protocols.

Work and collaborate with the Office of the President and Office of External Relations to ensure alignment with strategic initiatives and important events.

Required Qualifications

Bachelor's degree required in related area plus six years progressively responsible administrative experience including supervisory experience; OR a combination of education and/or experience to equal ten years.

Preferred Qualifications

Experience supporting an executive in a higher education setting
Ability to demonstrate current and ongoing proficiency with Microsoft Word, PowerPoint, and Excel
Highly developed verbal, written, and interpersonal communications skills; including an acute emotional intelligence
Ability to perform complex tasks while often having to prioritize multiple projects
Highly motivated team player with the ability to develop and maintain collaborative relationships with all levels within and external to the organization

Pay Statement

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.
