THIS WORK MATTERS!
The Operations Process Specialist is an expert in the use of Preschool for All’s (PFA) application and enrollment tracking software to improve and support operational workflows for a complex and highly visible preschool initiative focused on racial equity. This position will support the day -to-day and year-round operations associated with the application and enrollment process for PFA preschool slots. This position will train staff, preschool providers, and family navigators in use of PFA’s software as a service (SaaS) solution, coach user to improve their use of the system, implement new processes and functionality, workflow optimization, problem analysis and resolution, use of data and reports for improvement, and data quality improvement. The Operation Process Specialist will work directly with families and providers to provide support, resolve issues, and conduct follow-ups related to use of the system and PFA’s application and enrollment process and workflows.
As the Operations Process Specialist, other duties will include:
  • Provide excellent, responsive, and timely service to families, preschool providers, family navigators, and others who contact PFA regarding the online application and enrollment process
  • Operate and maintain user support systems, including by phone, email, and with in the SaaS collusion; provide technical and process support including problem analysis and resolution; collect, summarize, and track user support needs and concerns; document and track support requests for follow-up and reporting
  • Perform, review, and evaluate business operations, workflows, and practices; identify and recommend improvements of information systems and other technology
  • Leads and/or participates in efforts to promote data quality amd integrity, including data completeness, accuracy, and timeliness. THis data includes preschool applications, preschool placement responses, slots and enrollment tracking, and attendance
  • Run and analyze reports for completeness and accuracy of data; troubleshoot and work to resolve data and reporting issues and inconsistencies
  • Train users (preschool providers and family navigators) in one-on-one and group settings using established materials and training plans, create training materials and documentation; create in-line trainings and conduct webinars
  • Develop or revise training documents, operational process toolkits and curriculum for new functionality, upgrades, enhancements and workflow changes

Minimum Qualifications/Transferable Skills*:
Education/Training:
  • An Associate Degree form an accredited college or University with major coursework in business or public administration and
  • Three (3) years of increasingly responsible experience using the information systems and/or technologies or their equivalent in the assigned functional area. Professional level evaluative, analytical, or planning experience.

  • Must pass a criminal background check
  • Valid State issued Driver's License
Experience/Certification:
