JOB SUMMARY
:
The Patient Coordinator supports dental care delivery by performing the administrative components that begin with the revenue cycle as well as treatment planning, verification of insurances, check in- check out, scheduling appointments, answering phones, with duties flexing to accommodate the workflow and demands of the dental office. The Patient Coordinator will contribute to the organization’s success by passionately executing the mission and culture and all employees are to lead by example, eager to grow the organization and themselves.
QUALIFICATIONS:
- Must have basic word processing and computer skills, as well as knowledge of electronic medical record documentation
- Ability to prioritize and work independently
- Basic knowledge of dental terminology
- Positive attitude and strong interpersonal skills (especially with children)

- Strong written and verbal communication skills
Physical Demands:
- Work is normally performed in a typical interior/office work environment.
- Moderate physical activity. Must be able to lift up to 25 pounds or greater.
- Must be able to withstand long periods viewing a computer screen.
- Interacting with different personalities of co-workers and patients.
- Must have a valid driver’s license and reliable transportation.
Duties and Responsibilities:
- Must arrive and be ready to work at workstations at designated time given by supervisor.
- Must demonstrate excellent customer service skills with all staff, patients and visitors. Must greet all patients and visitors with a smile and eye contact at all times.
- Identify payer source and accurately enter in Dentrix, verify insurance eligibility (and obtain authorizations for services, when necessary), financial status, and assign correct pay type in the electronic medical record system.
- Oversees patient relationships and handles patient complaints.
- Must be able to complete accurately, all check-in and check-out processes.
- Schedule appointments and reschedule appointments, when needed.
- Must be able to accurately review treatment plan.
- Must follow up with no-show appointments to reschedule as applicable.
- Must have an understanding and be able to collect co-pay payments, deductibles, co-insurances and the importance of these roles in generating revenue for the organization.
- Review schedules in advance and perform pre-visit assessments, eligibility checks, and reminder calls. Must review all pertinent information with patient during this time, as applicable.
- Ensure all processes are followed to include all charges are documented correctly, accurately and that all discrepancies are reviewed/corrected by the provider, as applicable.
- Respond appropriately to patients regarding appointments, billing, and have the ability to re-direct them to the appropriate staff, as needed.
- Must accurately manage all cash collected and reconcile charges.
- Must be able to perform routine administrative duties which include but is not limited to scanning, copying and filing.
- Must monitor the waiting rooms frequently thorough out the day to ensure that all patients are accounted for during the visit.
- Must follow all quality improvement expectations as deemed appropriate and necessary.
- Must have excellent ability to multitask and function well in a fast-paced environment.
- Demonstrates superior knowledge of all doctor systems.
- Ensure work area is kept safe, clean and well organized.
- Must demonstrate proper telephone etiquette at all times by answering the phones, promptly, greeting each caller with a smile and proper greeting to include name.
- Must be an attentive listener at all times.
- Assist the patient with the completion of paperwork, when necessary
- Must have honest conduct as it pertains to collections, batch keeping, etc. for accurate reporting and book-keeping.
- Must be able to maintain confidentiality according to HIPAA regulations, laws, and policies.
- Other duties as assigned within the scope of practice.
