Job description
The Payroll Assistant is responsible for entering and processing semi-monthly payroll with a high degree of accuracy and timeliness. Complying with child support, garnishment, and tax levy laws and regulations. This position is also responsible for processing income Payroll Authorizations and SEWAs -Student Employment Authorization forms. In addition, the Payroll Assistant position is required to work on special projects or other work necessary to the operation of the Payroll Office or the College. This is a non-exempt benefit position and reports to the Payroll Manager.
Location Los Angeles, CA (Westchester) Essential Duties Summary 
Performs a wide variety of record keeping and payroll processing activities, including computing wage and overtime payments, calculating and recording retroactive payments, increases, vacation/sick time accruals, payroll labor allocations, and payroll deductions.
 Processes incoming Payroll Authorizations, SEWAS, W-4 forms, direct deposits, timesheets, absence forms, and other payroll documents.
 Processes stop payment requests, re-issue outstanding payroll checks, process payroll advances, payments for late time sheets, etc
 Oversees the balance of vacation and sick time in TimeClockPlus – TCP.
 Assists employees and managers with timekeeping and payroll questions and issues.
 Works with Payroll Manager in maintaining updated worksheet/log records for Faculty Contracts, Union dues, Vacation accruals, Gift Deductions, etc.
 Verifies that Banner and TCP have matching data including vacation and sick leave accruals.
 Reports all discrepancies to the Payroll Manager
 Assists Payroll Manager in providing requested information to the auditors.
 Assist Payroll Manager to run payroll reports for various departments.
 Works with Payroll Manager in maintaining an organized and efficient filing system for current and historical Payroll information.
 Maintenances of payroll confidential records, logs and files in accordance with college policy and state and federal laws and regulations as well as the retention schedule for them.
 Prepares correspondence to be mailed from Payroll including outstanding payroll checks, garnishments, new hire’s welcome e-mails.
 Follow-up on returned checks.
 Assists Payroll Manager with fiscal and calendar year-end processing of payroll, including supplemental payrolls, W-2s, 1042s, other tax forms, and other government-required documentation.
 Processes disbursement of garnishments pursuant to court-ordered documents.
 Completes wage verification requests.
 Special Projects as assigned.
  • Performs other related duties as assigned. Must be responsive to work-related phone calls and emails during non-business hours on occasion. (for EXEMPT JOBS ONLY)
Required Qualifications 
High school graduate or equivalent Minimum of five years of payroll systems experience, preferably Banner and TimeclockPlus – TCP
 Proficiency in using Microsoft Office software, including spreadsheets preparation.
 Ability to work under high pressure with fast-paced deadlines
 Willingness to work overtime
 Ability to effectively work as a part of a team
 Strong organization skills, attention to detail and follow through to resolve any outstanding issues.
 Strong time management skills.
 Strong written and verbal communication skills; appropriately communicates with administrators, faculty, staff, and students
 Ability to evaluate and analyze technical payroll activities.
 Ability to perform detailed computations.
 Ability to prepare detailed reports
 Knowledge of payroll principles, practices, regulations, and procedures a plus
 Knowledge of applicable local, state, and federal payroll and related tax laws, regulations, and statutes a plus
