Job Preview at a Glance:

The Payroll Coordinator must maintain current on Payroll systems to achieve alignment with Finance, People Experience (HR), Benefits and other related entities to ensure effective accounting support. This position reports to a Payroll Administrator within the Finance Team.

Location & Schedule:

Monday- Friday (hybrid schedule) reporting to our Administration Building located on 3rd St. and Osborne.

Pay: This is an exempt position, starting salary at $59k

Duties & Responsibilities:

  • Manages, organizes and processes all aspects of payroll.
  • Analyzes in detail, calculates, processes and coordinates all authorized Personnel Action Forms, Payroll Volunteer deduction form, State and Federal tax forms, direct deposit bank forms, time sheets, statements and updates payroll information at the request of the employee, for a biweekly automated payroll system.
  • Audits and prepares payroll checks internally for distribution, maintains and monitors payroll Employee Check Sign-Off List, and is responsible for mailing out employee paychecks which have not been picked up.
  • Manages and coordinates accurate distribution of time sheets to appropriate supervisors on a timely basis.
  • Calculates, analyzes and coordinates the monthly payroll summaries, payroll accruals, and payroll adjustments for the monthly financial statements within a strict and demanding time period.
  • Voids payroll checks and makes necessary adjustments on the tax payments.
  • Prepares quarterly payroll reports (941, State Withholding, Unemployment, Worker’s Compensation, etc.)
  • Transmits ACH File and the Check Register to the bank.
  • Transmits electronic tax payments on a bi-weekly basis.
  • Coordinates employee salary advances through manual paycheck process and assures proper implementation to the automated payroll system.
  • Completes in accurate detail, the legal documents pertaining to the following, Federal and State Levies, Child Support payments, and Writ of Garnishment. The duties included are:
  • Contact staff of garnishment or levy
  • Mailing out legal documents to all required parties.
  • Establish and monitor deduction on payroll system and from employee wages.
  • Responsible for payment made to judgment debtor.
  • Problem solves payroll issues with multi-level staff, People Experience Department, and external agencies such as law practices and government offices.
  • Responsible for analyzing and monitoring all payroll liability general ledger accounts on a quarterly basis. Produces general ledger journals when appropriate.
  • Reconciles, monitors and processes all employee deductions.
  • Assists in the payroll year-end duties including preparation of W-2’s.
  • Assists with the annual audit.
  • Maintains employee payroll files.

Education & Qualifications:

  • Three years with increasing responsibility in computerized bookkeeping or accounting, preferably in behavioral health or hospital setting. Consideration is given for college accounting studies in lieu of experience
  • UKG/UltiPro payroll software preferred.
