SUMMARY: The Payroll/HR Administrator is responsible for the administration of all aspects of the full payroll process cycle for all branch offices of Pacific Ag Rentals. This individual collects payroll data to maintain accurate payroll records. Handles the processing of employee status changes, new hires, terminations, transfers, full cycle biweekly payroll processing; and performs other related duties as assigned. The Payroll/HR Administrator audits payroll information for accuracy, reconciles payroll deposits, tax withholdings, wage garnishments, PTO status, 401k and voluntary deductions. This individual will assist with human resources functions with limited direction related to Payroll in compliance with all applicable Federal and State laws and regulations at Pacific Ag Rentals.

This individual will maintain a clean and organized desk and office environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Operations:

  • Review timesheets on a weekly basis
  • Assist, respond, and resolve all payroll inquiries, requests, or discrepancies
  • Prepare a response to notices from government agencies and courts regarding child support wage and garnishment withholding orders
  • Calculate and process garnishments and wage withholdings orders
  • Ensure that payroll-related transactions are processed in compliance with Federal and State laws
  • Perform necessary tasks to track and determine regular and overtime pay, and commission-based income or bonuses into an employee’s salary
  • Review and process payroll adjustments, including PTO
  • Enter, verify, and process employee time and attendance records using the payroll timekeeping system
  • Maintain accrual records and personal time off requests
  • Reconcile, compile and process full cycle payroll and update payroll records
  • Compute wages and deductions and review for accuracy
  • Prepare and distributes payroll checks
  • Prepare periodic reports of earnings, taxes, and deductions
  • Prepare and distribute labor reports to management
  • Maintain employee files and records
  • Implement company policies
  • Process all final checks for terminating employees
  • Ensure meeting deadlines in preparing data and filing reporting for local, state, and federal compliance
  • Complete employment verifications and EDD claims
  • Ensures accurate and timely processing of payroll updates, including new hires, terminations, and changes to pay rates.
  • Perform clerical duties such as filing, typing, faxing, photocopying, scanning, and filing database entries, etc.
  • Assist with HR Reports, Audits and Filings (EEO-1, CA Pay Data, 401k etc...)
  • Provide support with annual open enrollment and benefits administration, harassment training, annual performance reviews, and other projects for HR and Accounting

Customer Service:

  • Handle field operations calls timely and in a positive and professional manner
  • Contact supervisors regarding errors on timecards
  • Answer all employee inquiries professionally and positively
  • Promptly respond to incoming emails, calls, and inquiries from employees and outside agencies always displaying a proactive approach to outside agencies and problem resolution.
  • Exhibit a professional level of interaction with all levels of management and non-management
  • Trainer on Paylocity (payroll system)

QUALIFICATION REQUIREMENTS

Education and/or Experience:

  • At least 3-5 years of experience processing full payroll cycle
  • At least 3 years of HR experience
  • Associate Degree
  • Strong knowledge of Payroll and HR laws and regulations
  • Strong Excel skills
  • Detail oriented
  • Accurate calculations
  • Strong organizational skills and time management
  • Ability to prioritize

Computer Skills:

  • Computer literate in Microsoft Office Suite

Language Skills:

  • Bilingual Spanish/English preferred
  • Ability to respond to basic inquiries and present information effectively to customers, co-workers, and management verbally and in writing

Salary: $26.00 - $29.00 per hour

  • Human Resources: 3 years (Preferred)
  • Filing EEO-1 and CA Pay Data: 2 years (Preferred)
  • 401k and Payroll Auditing: 2 years (Preferred)

Language:

  • English and Spanish (Preferred)
